We are seeking a proactive and detail-oriented Pre-Plan Specialist to join our team. In this role, you will play a key part in ensuring efficient trip assignment and coverage for non-emergency medical transportation (NEMT) services, with a strong focus on maximizing member satisfaction and operational efficiency. This position is essential in planning, coordinating, and optimizing trips in advance while utilizing incentive structures and maintaining clear communication with vendors and team members.

Key Responsibilities

• Trip Planning & Assignment: Assign transportation providers for trips in advance, prioritizing wheelchair, rural, door-to-door, and gurney services.
• Incentive Management: Develop and communicate incentives to providers for timely trip coverage.
• Proactive Communication: Notify providers via email, text, and calls about available trips in their areas, focusing on high-need and urgent requests.
• Urgent & Same-Day Coverage: Address trips within 24 hours and coordinate alternate vehicle options with members as necessary.
• Coordination with Vendors: Partner with in-network providers and obtain management approval for out-of-network providers or specialized trip needs.
• Risk Management: Manage regional coverage to prevent missed trips and ensure operational consistency.
• Member Support: Notify members promptly of any trip changes, offering rescheduling or alternative solutions.
• Collaboration: Work closely with dispatchers, managers, and other departments to facilitate seamless trip execution.

Experience & Skills

• Proven experience in logistics, operations, or a related field (NEMT experience preferred).
• Strong organizational and multitasking skills with the ability to prioritize effectively in a fast-paced environment.
• Familiarity with medical office or clinic settings (dialysis experience preferred).
• Excellent communication skills, both written and verbal, with a professional demeanor.
• Proficiency in scheduling tools, email systems, and communication platforms.
• Analytical problem-solving skills to identify issues and implement effective solutions.
