Qualifications

  • High school diploma or equivalent required.
  • Previous experience in a medical office or healthcare setting preferred.
  • Knowledge of electronic health record (EHR/EMR) systems preferred.
  • Strong time-management and organizational skills.
  • Excellent attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Ability to handle confidential patient information appropriately and in accordance with applicable regulations.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to prioritize tasks and meet deadlines in a busy medical office environment.

Responsibilities

  • Scan and attach all internal and external correspondence and electronic medical reports into patient medical record charts according to established filing systems.
  • Pull charts for scheduled appointments in advance according to established guidelines.
  • Ensure all appropriate documentation for scheduled patient visits is attached to the patient’s chart.
  • Print, mail, and/or fax patient chart information as requested and authorized, and document all processes.
  • Release medical record information to individuals or agencies in accordance with applicable State and Federal regulations.
  • Compile and maintain patient medical records to accurately document patient condition and treatment and provide data for research, cost control, and quality improvement efforts.
  • Pick up out-guides from designated locations and return them to the Medical Records department.
  • Catalog charts for storage and maintain electronic records of stored charts.
  • Submit requests for chart retrieval from storage when needed to fulfill medical record requests.
  • Make copies of dictated interval notes as required.
  • Monitor physician dictation and ensure documentation is completed in the EMR; alert physicians when documentation is outstanding or behind schedule.
  • Maintain a record of new patients for weekly physician OCM meetings.
  • Follow policies and procedures to contribute to the efficiency of the front office and provide backup assistance to front office staff as needed.
  • Send dictations to referring providers via manual fax, RightFax, or electronically through Direct Message.
  • Log FMLA and disability forms for provider completion; mail or fax completed forms and contact patients as appropriate.
  • Send outgoing faxes and distribute incoming faxes.
  • Prepare correspondence, memos, forms, and other typed materials as requested by the supervisor.
  • Perform other related duties as assigned.

Medical Records / Medical Office Assistant Location: Salem Hours: Monday–Friday, either 8:00 AM–4:30 PM or 8:30 AM–5:00 PM, depending on department needs Pay: $17.00–$18.00 per hour, depending on experience

Position Summary

We are seeking a detail-oriented and organized Medical Records / Medical Office Assistant to support our medical records and front office operations.
