Job Description (Summary)
To accurately check patients in and out by verifying insurance, collecting payments, and maintaining patient records and accounts. Maintain patient flow. Provide positive patient relations.
Essential Duties And Responsibilities
- Prepare The Clinic For Opening Each Day By:
- Being at work 15 minutes before scheduled
- Reviewing the facility
- Turning phones back on
- Turning "open" sign on
- Turning TV on
- Cleaning lobby and work area
- Restocking bathroom supplies
- Opening all computer systems applications
- Preparing new patient registration packets and required documents
Receiving and sorting faxes and distributing accordingly
Turn outside signs (Road and building) on
Greet patients, provide initial paperwork, and obtain copies of insurance and ID cards.
Register patients, update records, and verify insurance accurately and timely
Determine, collect, and process patient payments and address billing issues
Obtain consent for social marketing and reviews
Discharge Patients Accurately And Timely By:
- Collecting balances and ensuring charges are complete before patient departure
- Providing patient documentation
- Following discharge procedures
Follow Company Procedures Related To Workers' Compensation Patients:
- Verify WC visit authorization
- First report of injury
- Follow-up work comp visit
Follow Company Procedure Related To Occupational Medicine Patients:
- Perform Drug Screens
- Perform BAT Screens
- Be ready for pickup couriers
Complete Closing Procedures By:
- Preparing closing documentation
- Scanning required reports
- Balancing daily patient charges (cash, check, credit cards) against system reports
- Taking trash out
- Ensuring all doors are locked and no patient is in the facility before leaving
- Doors should not be locked before 7:55 PM unless authorized by Dr. Mansoor or Tahir
Maintain complete and accurate documentation, revisiting records after initial registration to ensure completeness
Respond promptly to customer needs, provide excellent customer service, assist with follow-up appointments, and fulfill medical documentation requests
Follow Correct Telephone Communication Procedures And Protocols:
- Follow HIPAA regulations
- Do not provide medical advice or confirm orders; no medical advice can be given over the phone
- Handle courtesy calls and messages appropriately
