Job Description

Serves patients and visitors by greeting in a friendly and welcoming manner as they arrive at our offices. Completes and updates all required information, collects payments, and provides other information as requested. Discharges patients after their appointment, providing them with any pertinent information as well as follow-up appointments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

This list may not include all the duties that may be assigned.

  1. Check-in patients upon arrival, updating demographics, insurance information, PCP, pharmacy, collecting co-pays and patient balances, and providing consents and health questionnaires.
  2. Check out patients, collect additional balances, provide visit summaries, referral information, patient portal details, completed forms, and schedule follow-up appointments.
  3. Verify patient insurance through Batch Eligibility or on demand. Contact patients with inactive insurance or inappropriate PCP.
  4. Post patient charges and payments, and complete reconciliation.
  5. Scan and upload documents into the Document Management system.
  6. Sort and deliver mail and PA documents received by courier. Maintain a clean work and patient waiting area.
  7. Participate in staff and educational meetings.
QUALIFICATIONS
Experience

Minimum 1 year experience in a medical office setting preferred.

Licensure/Certification

Active and valid driver’s license required upon hire and throughout employment.

Knowledge, Skills, and Abilities
  • Ability to learn Pediatric Associate procedures, policies, and protocols.
  • Proficient grammar, spelling, and verbal communication skills.
  • Ability to read, understand, and follow instructions.
  • Knowledge of computer systems and medical terminology preferred.
  • Effective interaction and supportiveness with staff, maintaining professionalism.
  • Excellent customer service skills, greeting and receiving patients/visitors professionally.
  • Strong phone etiquette and communication skills.
  • Good judgment and confidentiality maintenance.
  • Ability to file alphabetically and numerically.
  • Experience with computers, scanners, printers, and fax machines.
TYPICAL WORKING CONDITIONS
  • May rotate between office and remote work.
  • Travel 15-20% to other locations with reimbursement per policy.
  • Designated float staff may be assigned to multiple locations.
Physical and Other Requirements
  • Operating computer, manual dexterity, reaching above shoulder, lifting/carrying up to 10 lbs, standing.
  • Vision, hearing, touch, smell, PPE usage.
PERFORMANCE REQUIREMENTS

Adhere to organizational security policies, protecting sensitive information including ePHI and PHI, in compliance with applicable regulations.
