We are seeking a Medical Office Coordinator whowill offer friendly, courteous, and confidential assistance toensure every patient has an outstanding customer service experiencewhile at Johns Hopkins. Maintains accurate information on eachpatient to facilitate the patient encounter. Uses automated systemsto expedite patient office appointment pre-registration, check-in,and checkout. Works collaboratively with others in a teamenvironment.

Specific Duties & Responsibilities
  • Monitors and coordinates clinic flow. Exhibits awareness ofpatient wait times and responds to physician and staff needs tomaintain a smoothly running clinic experience for providers, staff,and patients.
  • Maintains familiarity with various types of medical insuranceto properly schedule patients and answer patient questions.
  • Verifies and enters pre-registration and insurance informationinto the electronic medical record system. Obtains and/or verifiespatient's demographic data by phone or in person.
  • Registers patients for clinical appointments using theelectronic medical record system.
  • Collects time of service payments, issues receipts, andprepares end-of-day reconciliation.
  • Discusses patient charges, if appropriate, with patients and/orpatients' families.
  • Refers patients to the appropriate office if financialcounseling is necessary.
  • Coordinates visits either within the office or between otheroffices and/or departments.
  • Schedules patients for laboratory tests, medical examinations,and procedures.
  • May obtain pre-certifications as required by patients' healthcare insurers or managed care providers.
  • Demonstrates awareness of limitations of institutionalresources and seeks to maximize physician scheduling within thiscontext. Proactively seeks to schedule/reschedule patients forefficient utilization of resources (e.g., backfill to covercancellations or add urgent appointments).
  • Resolves any schedule conflicts.
  • Reschedules patients when the provider's clinic schedulechanges.
  • Fills vacancies due to cancellations.
  • Answers phones and monitors the electronic medical recordsystem’s inbasket messages.
  • Screens patient calls and medical issues. Provides routineinformation and answers patient questions where appropriate anddetermines if physician's response is required.
  • Handles routine in-basket requests and forwards other messagesto the appropriate resource. Documents appropriately in thesystem.
  • Responds to requests for completion of various medical formsfor patients (MVA forms, disability forms, workers' compensationforms, etc.)
  • Assists with back-office duties as needed to ensure consistentpatient flow.
  • Provides primary surgical coordination.
  • Works with staff to develop, implement, and manage systems toensure all required components are completed for surgical patients,i.e., consents, history and physical, orders, etc.
  • Reviews with patients all surgery instructions and necessaryforms for completion.
  • Reviews with patients all insurance requirements before surgeryand works with the patient and billing office to ensure all properfinancial arrangements have been made before surgery.
  • Collects payments for surgeries.
  • Educates patients on what to expect before, during and aftereye surgery.
  • Ensures that patient questions have been answered by theappropriate staff.
  • Schedules surgery utilizing the appropriate on-linesystem.
  • Coordinates details for surgery, including scheduling pre-ops,immediate post-op appointments, and arrival time for surgery andfollows up on post-op appointments to ensure continuity ofpostoperative care.
  • Operates a desktop computer to access e-mail, electroniccalendars, and other basic office support software.
  • Performs other duties as required.
Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Two years administrative experience.
  • Additional education may substitute for one year of experienceto the extent permitted by the JHU equivalency formula.

Starting Salary Range: $16.60 - $29.50 HRLY($22.00-$25.65/hour targeted; Commensurate w/exp.)

During the Influenza ("the flu") season, as a condition ofemployment, The Johns Hopkins Institutions require all employeeswho provide ongoing services to patients or work in patient care orclinical care areas to have an annual influenza vaccination orpossess an approved medical or religious exception. Failure to meetthis requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas,laboratories, working with research subjects, or involvingcommunity contact requires documentation of immune status againstRubella (German measles), Rubeola (Measles), Mumps, Varicella(chickenpox), Hepatitis B and documentation of having received theTdap (Tetanus, diphtheria, pertussis) vaccination. This may includedocumentation of having two (2) MMR vaccines; two (2) Varicellavaccines; or antibody status to these diseases from laboratorytesting. Blood tests for immunities to these diseases areordinarily included in the pre-employment physical exam except forthose employees who provide results of blood tests or immunizationdocumentation from their own health care providers. Anyvaccinations required for these diseases will be given at no costin our Occupational Health office.
