Job summary

The position requires strong administrative skills, independence, and teamwork across departments. Occasional travel to multiple Johns Hopkins sites may be required, with a Monday–Friday schedule in the School of Medicine campus

Qualifications

  • High school diploma or graduation equivalent.
  • Three years of progressively responsible medical office experience.
  • Additional education may substitute for required experience per JHU policy.
  • Two years of college or equivalent work experience (preferred).
  • Knowledge of patient registration and scheduling in Epic.
  • Experience in the Johns Hopkins system strongly preferred.

Responsibilities

  • Coordinate complex procedure scheduling with patients and hospital, including surgery dates.
  • Collect insurance information and register surgeries in EPIC.
  • Assist physicians with preauthorization and single-case agreement processes.
  • Coordinate follow-up visits and information on treatment and testing locations.
  • Schedule labs and coordinate with other areas to complete scheduling.
  • Liaise with Access Services and Patient Service Coordinators to reschedule clinics.
  • Obtain outside medical records and refer patients to appropriate resources.
  • Provide responsive, professional care coordination and patient service across sites.
  • May travel to multiple work sites.

The department of Plastic and Reconstructive Surgeryseeking a Sr. Medical Office Coordinator for the day-to-dayactivities of a multi-faceted surgical practice to ensure asmoothly functioning office and good patient relations. Adapt tochanges in technology and software to ensure efficient officepractice. Support surgeons in efficient use of operating room andclinic time. Provide administrative support for medical matters onbehalf of physicians, as well as general academic/generaladministrative support.

Specific Duties & Responsibilities
  • Coordinate with patient and hospital, complex procedurescheduling including dates for surgery and office visits,preparation and dissemination of pre-operative and hospitaladmission information.
  • Collect insurance information and complete surgery schedulingand registration in EPIC.
  • Support the physician with insurance preauthorization andsingle case agreement processes by submitting necessary clinicalinformation as instructed by the physician.
  • Coordinate follow-up office visits by providing informationabout treatment and testing locations.
  • Schedule lab test and other procedures and/or coordinate withother areas to complete scheduling process.
  • Coordinate with Access Services and Patient ServiceCoordinators to reschedule physician and/or testing appointmentsfor canceled clinics.
  • Coordinate with patient and/or referring physician to obtainoutside medical records.
  • Refer patient to appropriate resources.
  • Review clinic schedules and make adjustments asappropriate.
  • Act as a liaison for patient, coordinating futureconsultations, diagnostics tests, or procedures. Professionally andefficiently manage incoming calls and requests from patients,surgeons and fellow staff members to ensure that issues areresolved both promptly and thoroughly.
  • Provide quality service and support to patients in a variety ofareas which may include, but not limited to scheduling,registration and care coordination.
  • May require travel to multiple work sites. Perform other dutiesas required.
Special Knowledge, Skills, and Abilities
  • Intermediate computer and proofreading skills.

Minimum Qualifications
  • High school diploma or graduation equivalent

The pre-employment physical for positions in clinical areas,laboratories, working with research subjects, or involvingcommunity contact requires documentation of immune status againstRubella (German measles), Rubeola (Measles), Mumps, Varicella(chickenpox), Hepatitis B and documentation of having received theTdap (Tetanus, diphtheria, pertussis) vaccination. This may includedocumentation of having two (2) MMR vaccines; two (2) Varicellavaccines; or antibody status to these diseases from laboratorytesting. Blood tests for immunities to these diseases areordinarily included in the pre-employment physical exam except forthose employees who provide results of blood tests or immunizationdocumentation from their own health care providers. Anyvaccinations required for these diseases will be given at no costin our Occupational Health office.
