Job summary

Texas Health Care PLCC is seeking a Medical Office Administrative Assistant to support daily operations and ensure smooth patient flow. The role emphasizes accurate record keeping, confidentiality, and a positive patient experience.

Key duties include managing phone calls, scheduling, verifying insurance, collecting payments, preparing charts, and supporting billing inquiries. Ideal candidates have 1–2 years in medical admin and proficiency with MS Office and EHR systems.

Qualifications

  • High School Diploma or GED required; associate degree or medical admin cert preferred.
  • 1–2 years of administrative support experience, ideally in a medical office.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Experience with EHR systems is highly desirable.
  • Excellent verbal and written communication, strong organization, and attention to detail.
  • Ability to multitask and maintain patient confidentiality (HIPAA).

Responsibilities

  • Answer multi-line phone systems, direct calls, and take detailed messages.
  • Schedule and confirm patient appointments, manage the appointment calendar, and handle rescheduling requests.
  • Greet and register patients, verify insurance information, and collect co-pays or payments.
  • Prepare patient charts, scan and file medical records, and ensure accuracy and confidentiality of patient data.
  • Process incoming and outgoing mail, faxes, and other correspondence.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with billing inquiries and insurance claims processing.
  • Maintain cleanliness and organization of the reception area and waiting room.
  • Communicate effectively with patients, physicians, and other healthcare professionals.
  • Perform other administrative duties as assigned by the office manager or medical staff.

Hours per week - 36-40 hours


Work Schedule - Monday thru Thursday 8-5 Friday 8 to noon
