The CORE Institute in Fort Myers, FL is seeking a diligent Medical Office Scheduler to support daily operations of the front desk. You will manage phone lines, schedule consultations and follow-ups using the EMR system, and gather patient demographic and insurance information.

You will verify insurance eligibility at scheduling, process referrals, handle outbound inquiries, and back up the inbound call flow as needed while maintaining confidentiality of health records.

Qualifications

  • High school diploma or equivalent required.
  • Experience in medical front desk or scheduling a plus.
  • Familiarity with EMR systems and insurance terminology.

Responsibilities

  • Maintain coverage of phones 8:00 am–5:00 pm, Monday–Friday.
  • Schedule clinic appointments, consultations and follow-ups.
  • Collect demographic, insurance, and medical information.
  • Use scheduling tools and referrals to book patient visits.
  • Verify insurance eligibility at scheduling time.
  • Process referrals and import documents into charts.
  • Handle outbound calls and respond timely and accurately.
  • Back up inbound calls as needed with accuracy.
  • Flag patient concerns to supervisor/leads.
  • Triage and relay messages to appropriate staff.
  • Support pre-registration team in daily appointment requests.
  • Maintain strict confidentiality of health records.

Job description

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
  • Maintain coverage of the phones between the hours of 8:00 am and 5:00 pm Monday to Friday.
  • Schedule clinic appointments including consultations and follow-up visits, utilizing the EMR and scheduling tool.
  • Collect all pertinent demographic information, insurance information, and medical information.
  • Utilizes scheduling tools and a referral system to schedule patient appointments.
  • Confirm patient is eligible with insurance plan at the time the appointment is scheduled.
  • Utilized referral system to process referral, contact the patient to schedule appointment and import referral/documents into patient’s chart.
  • Call and resolve all outbound calls and requests in a timely and accurate manner.
  • Back up to Answer and resolve all incoming calls and requests in a timely and accurate manner.
  • Communicate with supervisor and/or leads about potential patient concerns.
  • Triage and relay necessary messages to appropriate staff members.
  • Participates in the daily operations of processing the patient appointment requests as a team alongside the pre-registration team.
  • Ensure strict confidentiality of all health records and member information.
  • Other duties assigned
QUALIFICATIONS

Education: High school diploma or equivalent

Certification/Licensure: Not required

Skills:

  • Ability to maintain confidentiality of sensitive information

  • Requires adherence to all policies and procedures, including standards for safety, attendance, punctuality and personal appearance.
  • Must be able to establish and maintain effective working relationships with managers and peers.
Physical Requirements:

Requires occasional lifting up to 25 pounds unassisted. Requires frequent bending, reaching and repetitive hand movements, standing, walking, squatting and sitting.
