Job summary

Temple University's Lewis Katz School of Medicine is seeking a Program Specialist-Medical Education to provide comprehensive course support for Phase 1, Year 2 MD courses, manage courses in Canvas, and coordinate room scheduling and exams.

The role collaborates with Phase 1 Deans and faculty, posts grades in Banner, generates course data reports, and coordinates the Pre-clerkship Elective program in a hybrid on-campus/remote arrangement.

Qualifications

Bachelor's Degree and at least 2 years of related experience.
Experience coordinating medical education courses or similar programs.
Familiarity with Canvas and exam management tools.

Responsibilities

Serves as administrative coordinator for all aspects of second year medical education courses.
Establishes and organizes each course within Canvas in accordance with protocol. Updates information as received and continually ensures accuracy of course information,
Manages room scheduling per session needs and establishes appropriate zoom meetings as necessary.
Manages attendance tracking using Qwickly system for every mandatory in person session.
Communicates regularly with students and faculty regarding lecture and small group schedules, room assignments, handouts and recorded lectures, course competencies and learning objectives, and exams.
Serves as administrative liaison with faculty and staff at St. Luke's regional campus.
Posts exams into electronic exam management system and reserves appropriate test rooms. Organizes coverage for exam proctoring with colleagues.
Tracks data related to second year curriculum, including course failures, remediation, student performance, outcomes, and enrollments. Follows up with Course Directors for resolution of remediation.
Post grades to Teams Grade Sheet and submits grades and grade changes in Banner.
Prepares listing of faculty for teaching evaluations assignments. Disseminates course and faculty evaluations in accordance with procedure. Track evaluation completion rate and communicate to Phase 1 Deans.
Coordinate, attend and provide administrative support to course focus group meetings.
Coordinate entire Pre-clerkship Elective program, confirming offerings with Phase 1 Deans/faculty, organizing Fall and Spring catalogs, running electives lottery, making course assignments and communicating those assignments to students and faculty, reserving rooms, obtaining and submitting grades.
Participates in special projects as assigned.
Performs other duties as assigned.
