Job summary

Thayer, LLC is seeking an experienced Mechanical Services Project Manager to lead commercial HVAC projects from handoff through completion. You will coordinate with sales, service operations, and field leadership to translate commitments into executable plans and ensure profitability.

About the Opportunity

Thayer, LLC is seeking an experienced Mechanical Services Project Manager to lead commercial HVAC and mechanical projects from sales handoff through successful completion. This role combines technical knowledge, financial discipline, and hands‑on coordination to deliver projects safely, on schedule, within scope, and within budget.

Working closely with project sales, service operations, and field leadership, the Project Manager translates customer commitments into clear, executable plans. The ideal candidate understands both how mechanical work gets done and how to manage the business side of a project—including budgets, labor productivity, purchasing, change orders, billing, and profitability.

Key Responsibilities
  • Lead projects from handoff through closeout. Manage commercial HVAC and mechanical service, replacement, and retrofit projects through planning, procurement, installation, startup, commissioning, punch list completion, and final documentation.
  • Coordinate with sales and estimating. Review estimates, proposals, drawings, specifications, and contracts to confirm scope, constructability, labor requirements, equipment selections, exclusions, and customer expectations before work begins.
  • Own project financial performance. Establish and manage project budgets; monitor labor, materials, equipment, and subcontractor costs; maintain accurate cost‑to‑complete forecasts; and address issues that could affect profitability.
  • Plan schedules and field resources. Coordinate technicians, field supervisors, subcontractors, and service operations to establish realistic schedules, align staffing with project needs, and minimize disruptions to customer operations.
  • Manage purchasing and project logistics. Coordinate equipment and material procurement, vendor commitments, delivery schedules, staging, and installation sequencing to keep work moving efficiently.
  • Control scope and manage changes. Identify work outside the contracted scope, document cost and schedule impacts, and secure appropriate approvals before additional work proceeds. Coordinate with sales and accounting to support accurate, timely billing.
  • Maintain project documentation. Prepare and track requests for information, submittals, permits, change orders, progress reports, warranty information, operating and maintenance manuals, and other required records.
  • Communicate clearly with customers and stakeholders. Serve as the primary project contact, lead kickoff and progress meetings, communicate upcoming work and potential disruptions, and resolve concerns professionally.
  • Reinforce safety and quality expectations. Coordinate with field leadership to support compliance with company safety policies, applicable OSHA requirements, project specifications, and installation standards.
  • Resolve risks and drive accountability. Identify scheduling, technical, financial, and resource challenges early; develop practical solutions; elevate concerns when necessary; and capture lessons learned to improve future projects.
Required Qualifications
  • Five or more years of project management experience in commercial HVAC, mechanical services, plumbing, piping, construction, or a closely related field.
  • Demonstrated financial and business acumen, including experience managing budgets, forecasting remaining costs, monitoring labor productivity, and protecting project profitability.
  • Strong understanding of mechanical systems, construction sequencing, service operations, and the practical requirements of field execution.
  • Ability to read and interpret mechanical drawings, specifications, estimates, scopes of work, and contract documents.
  • Experience managing multiple projects simultaneously, including schedules, procurement, subcontractors, vendors, change orders, and customer expectations.
  • Strong organizational, leadership, and communication skills, with the ability to establish clear expectations and work effectively with customers, field employees, sales professionals, and company leadership.
  • Proficiency with Microsoft Office, particularly Excel, and experience using project management or construction accounting software.
  • Valid driver’s license and ability to travel to customer sites and project locations as needed.
Preferred Qualifications
  • Seven or more years of directly relevant experience managing commercial HVAC or mechanical projects, particularly replacements, retrofits, design‑build work, or projects in occupied facilities.
  • Previous experience as a mechanical technician, foreman, estimator, project engineer, or assistant project manager, supported by demonstrated project management and financial responsibility.
  • Relevant trade license, PMP certification, OSHA 10 or OSHA 30 training, NATE certification, or other applicable credentials.
  • Familiarity with COINS, Bluebeam, or comparable construction accounting, project management, and document review platforms.
