Job summary

SSFM International on Maui seeks a Program Specialist II to coordinate program activities, support project administration, and provide reporting from an onsite field office. You will embed with field teams to manage communications, documentation, and logistics essential for project success.

The role emphasizes independent work style, strong organization, and the ability to handle multiple deadlines across grant-related workflows and infrastructure projects.

Qualifications

• Bachelors degree preferred; equivalent experience considered.
• 4+ years in program coordination or related role.
• Experience with grant management, A/E coordination, or environmental permitting is desirable.
• Organizational and time-management skills; able to manage multiple deadlines.
• Proficiency with Microsoft 365 and project tracking systems.

Responsibilities

• Coordinate daily program and project activities from the Maui project office.
• Maintain tracking tools, project documentation, schedules, and field records.
• Support project managers with reporting, deliverable monitoring, and client updates.
• Analyze program data and prepare summaries or dashboards for leadership.
• Draft communications, meeting notes, and project materials.
• Identify workflow gaps or issues and recommend process improvements.
• Liaise with subcontractors, field personnel, clients, and SSFM Honolulu HQ.
• Support project procurement, onboarding, travel coordination, and field logistics.
• Lead small tasks or operational improvements within the field office.
