Employee Success Coordinator at SmartSimple Software Inc.

About SmartSimple & Foundant

At SmartSimple and Foundant Technologies, we empower mission-driven organizations to manage their data, workflows, and impact with our comprehensive software solutions. From grant management and community foundations to process automation and data collaboration, our combined expertise supports a diverse range of organizations - from nonprofits and charitable entities to corporations and governments.

With the recent merger of SmartSimple and Foundant Technologies, we’ve created a powerhouse of solutions designed to meet the unique needs of organizations striving to make a difference. Together, we’re setting new standards in innovation, flexibility, and impact management by helping organizations achieve their missions more efficiently and effectively.

Where You’ll Work:

  • As a remote-first workplace, we believe in offering flexibility and the freedom to work where it suits you best, while staying connected through technology. Our global network of talent is supported by physical office hubs and virtual collaboration, fostering a dynamic environment where innovation and growth thrive.
  • With headquarters in Bozeman, Montana (Foundant), Toronto, Canada (SmartSimple), and our EMEA office in Dublin, Ireland, you’ll be part of a globally connected team. Whether you’re working remotely or from one of our office locations, you’ll be contributing to a vibrant, collaborative culture focused on driving meaningful impact across the world.

What You’ll Do:

  • Oversee our marketing technology infrastructure and vendor management, including automation platforms (like Marketo, Salesforce, Pathfactory), CRM systems, and other marketing technology tools, ensuring all tools are integrated and function optimally.
  • Manage relationships with technology vendors and stay abreast of new technologies that could improve marketing performance and team efficiency.
  • Set and proactively manage standard operating procedures for basic automation workflows and respective performance tracking to empower team members to independently execute marketing activities.
  • Coordinate and partner with team members to execute campaigns. This involves scheduling, segmenting audiences, setting up automation workflows, and ensuring timely delivery of marketing efforts.
  • Collect, analyze, and report on marketing data to help guide strategic decisions.
  • Partner with Sales and Marketing Analyst to develop and maintain dashboards that provide insights into marketing campaign effectiveness, customer engagement, and ROI.
  • Create and optimize marketing processes by identifying bottlenecks, creating efficient workflows, and automating repetitive tasks.
  • Continuously evaluate and improve marketing processes to enhance efficiency and effectiveness.
  • Maintain data accuracy and hygiene with the marketing database to ensure reliable campaign targeting.
  • Ensure compliance of marketing data and processes with appropriate data management and compliance standards (GDPR, CCPA).
  • Work closely with Sales, Information Systems (IS), and other departments to ensure marketing operations align with company objectives and client needs.
  • Assist in the management of the marketing budget, ensuring spending aligns with strategic priorities.
  • Track return on investment.

What You’ll Need:

  • 3 – 5 years of experience in marketing operations, digital marketing, or a related role with tech stack, database management and compliance responsibilities.
  • 3 – 5 years of hands-on marketing automation and CRM experience. Certifications are a strong asset (e.g. Marketo Certified Expert).
  • Excellent data analytics skills and experience with data analysis tools.
  • Experience managing marketing system integrations to improve business efficiency and help team members automate or simplify their work.
  • Basic HTML/CSS knowledge.
  • Tools used: Marketo, HubSpot, Salesforce, Pathfactory, Bizible, Wordpress, Google Analytics, Zoom webinar, Office365.

What You’ll Bring to our Team Dynamics:

  • Adaptive Achievement: You’re able to proactively identify challenges and opportunities and make recommendations for changes to our systems or processes to mitigate risk or increase efficiency.
  • Productive Collaboration: You'll effectively engage across multiple teams including Success, Account Management, Sales, and Marketing to ensure we are delivering on our efficiency and effectiveness goals.
  • Service Orientation: You'll deliver proactive, empathetic service by fully understanding and addressing the needs of team members and clients. You're curious and start with the “why” - why others want to do what they are asking to do and what their goals or intended outcomes are.
  • Business Insight: You'll marry technical knowledge and business need to drive better decision making and investments in our marketing resources.
  • Active Learning: You will look for ways to improve our marketing efforts through new approaches and technology.

Why You’ll Love Working at SmartSimple + Foundant:

  • At the heart of everything we do is a commitment to innovation and making a positive impact. Whether you’re working on projects that empower not-for-profits, community foundations, or corporations, your contributions will help drive real-world change.
  • We offer competitive salary and benefits, including tuition, and lifestyle reimbursements, and bespoke mindfulness and fitness initiatives.
  • With our Flexible PTO policy, you’ll have the freedom to manage your time in a way that supports your personal well-being and professional success.
  • We’re committed to your professional and personal development. With our merger, you'll have the chance to collaborate across teams at both SmartSimple and Foundant, giving you exposure to diverse ideas, expertise, and projects that span multiple industries.
  • As part of a larger organization, you’ll have even more opportunities to grow your career. Whether it’s exploring new roles, leadership opportunities, or shifting to a different department, we support internal mobility to help you achieve your career goals.
  • You’ll enjoy autonomy and responsibility, empowering you to approach your work creatively and independently, fostering innovation and independent thought.
  • Employee recognition is a core part of our culture. When you do a great job, we make sure everyone knows about it!
