Key Responsibilities:
- Administrative & Operations (25%)
- Manage calendars, appointments, and team scheduling for meetings, production schedules, and project management. Oversee client onboarding/offboarding processes.
- Maintain backend systems, including contracts and digital filing.
- Troubleshoot tech issues and support tools like email, Slack, Airtable, and Zoom.
- Project Management (35%)
- Track deliverables and timelines across multiple projects. Manage Asana or Trello boards to ensure accountability.
- Coordinate team meetings with staff and contractors, assign tasks, and maintain workflow clarity.
- Content Scheduling & Marketing Support (25%)
- Schedule and repurpose social media content (Instagram, LinkedIn, etc.).
- Write or adapt captions from transcripts and project content.
- Support email marketing via platforms like Mailchimp or Flodesk.
- Client Communications & Inbox Management (15%)
- Respond to general inquiries and FAQs.
- Manage DMs and inbox communication with professionalism and warmth. Confirm client meetings and provide reminder follow-ups.
Work Schedule & Availability
This is a remote position. We require team members to be available for collaboration and meetings between 9:00 AM and 3:00 PM PST, Monday through Friday. While work can be completed outside these hours, this core window ensures smooth communication and team cohesion. Occasional in-person client events and meetings may occur.
Requirements
- 1-2 years of experience in project coordination, marketing, or business operations—preferably within an agency or government setting.
- Strong sense of structure and clarity in managing time, systems, and information.
- Meticulous attention to detail with multitasking ability. Proficient in Google Workspace, Monday, Slack, Asana/Trello, and email marketing tools.
- Strong writing and copyediting skills.
- Proactive and resourceful problem-solver.

- Ability to lead in ensuring campaigns and tasks are completed, delivered, and communicated effectively.
