Job summary

The Legacy Senior Communities is seeking a Marketing Assistant/Move-In Coordinator in Plano, TX. This role provides comprehensive administrative support for the marketing office and manages daily operations to ensure smooth move-ins for IL, AL, and MS residents.

Responsibilities include handling prospect communications, reports, events, and office procurement, while maintaining a professional front-desk presence. The position emphasizes collaboration with the sales team and resident services.

Qualifications

• High school diploma or equivalent required.
• Minimum 2 years of experience as Administrative Assistant involving customer service.
• Experience working with seniors is a plus.

Responsibilities

• Operate and administer Prospect Tracking System and distribute mailings to individuals on the Prospect Tracking system.
• Manage weekly sales and occupancy reports.
• Oversee move-in process for IL, AL, and MS including final signing of settlement paperwork.
• Coordinate make-ready process for IL, AL, MS after move-out to welcome new resident.
• Assist in organizing customization for new Members and Residents.
• Prepare email blasts for distribution to leads and prospects.
• Plan and support special events, including weekend events.
• Order office supplies and manage petty cash.
• Greet visitors and handle calls professionally.
• Prepare and distribute correspondence/materials for sales staff.
• Manage parking assignments in the garage.
• Other duties as assigned by Supervisor.
