Responsibilities

  • Serve as the welcoming face of the Market Center, delivering a warm, professional experience for agents, clients, recruits, vendors, and guests.
  • Build strong agent relationships and proactively support their success.
  • Coordinate onboarding/offboarding, paperwork, access, licensing, and follow-up.
  • Maintain office spaces, supplies, room scheduling, and vendor coordination.
  • Coordinate communications, marketing materials, events, and internal newsletters.
  • Support KW Command, Connect, Google Workspace, Canva, CRM platforms, Zoom, and office technology.
  • Lead classes, meetings, trainings, and events from planning to execution.
  • Maintain records, calendars, documentation, and operational systems.
  • Collaborate with Finance on check processing and related procedures.

The Market Center Coordinator (MCC) is the is the front desk leader and operational heartbeat and culture ambassador of Keller Williams Fairfax Gateway, supporting about 100+ real estate professionals.

The ideal candidate is proactive, highly organized, tech-savvy, service-driven, and accountable someone who takes ownership, anticipates needs, solves problems, and creates a warm, professional environment where agents can thrive.

Key Responsibilities
Agent Experience & Office Operations
  • Serve as the welcoming face of the Market Center, creating a warm, professional, hospitality-focused experience for agents, clients, recruits, vendors, and guests.
  • Build strong agent relationships and proactively identify ways to support their success.
  • Coordinate agent onboarding and offboarding, including paperwork, systems setup, office access, licensing coordination, and follow‑up.
  • Own the daily office experience keeping reception, conference rooms, kitchen, training areas, and all common spaces clean, debris free , organized, fully stocked, and presentation‑ready.
  • Manage office supplies, mail, deliveries, equipment, room scheduling, and vendor coordination.
  • Maintain accurate records, calendars, documentation, and operational systems.
  • Coordinate with the Finance Team on check processing and related administrative procedures.
  • Answer incoming phone calls promptly and professionally, determine the caller’s needs, provide accurate information when appropriate, and confidently redirect or connect calls to the appropriate person or department.
Communications, Marketing & Social Media
  • Create and manage newsletters, email campaigns, announcements, training promotions, recruiting materials, presentations, and internal communications.
  • Create professional graphics and marketing / agent appreciation/ celebration materials using Canva.
  • Co‑manage / engage and moderate Market Center social media pages and Facebook groups.
  • Create engaging content that highlights the Market Center, training, culture, community involvement, and agent success.
  • Create agent recognition graphics and showcase agents in action through photos, videos, events, achievements, and social media features.
  • Maintain consistent, professional branding across communications and digital channels.
  • Coordinate classes, meetings, workshops, guest speakers, and special events from planning through execution.
  • Manage registrations, communication, room setup, materials, attendance, and follow‑up.
  • Support agents with KW Command, Connect, Google Workspace, Canva, CRM platforms, Zoom, and office technology.
  • Maintain training resources, recordings, presentations, and digital learning materials.
  • Identify opportunities to improve efficiency through technology, automation, and AI.
Leadership & Culture
  • Provide administrative and operational support to the Leadership Team.
  • Support recruiting initiatives, leadership meetings, ALC activities, culture initiatives, education programs, vendor partnerships, appreciation events, and community outreach.
  • Help create an engaging, positive, collaborative, and growth‑focused Market Center environment.
