Job summary

Goodwill San Antonio is seeking a seasoned manager to oversee the receipt, tracking and scanning of Medical and Dental records for Total Force Members and to supervise day-to-day contract operations. You will lead a team, ensure timely reporting, and uphold compliance with organizational policies.

Qualifications

  • 5+ years of experience in similar work with supervisory/management responsibilities.
  • 7+ years of experience performing similar work.
  • Experience with military records/contracts is helpful.
  • Supervision/management of medium to large teams is helpful.
  • Equivalent combination of education, experience and/or military training.

Responsibilities

  • Review contract modifications and develop business models and costing packages.
  • Oversee hiring actions and availability of applicants.
  • Maintain complete filing system for all contract-related documents.
  • Complete monthly invoicing including government billing as authorized.
  • Ensure accurate punches and paid time off in time & attendance system.
  • Coordinate with facility management on renovations and general issues.
  • Provide regular reports to the Director/Contract as required.
  • Maintain compliance with safety, risk management and ethics policies.
  • Investigate incidents and safeguard donations and goods.
  • Foster harmonious relations and address staff concerns promptly.

POSITION SUMMARY

Responsible for the receipt, tracking and scanning of Medical and Dental records on Total Force Members that have separated or retired. Oversees all aspects of the day-to-day operations of the contracts. Responsible for the supervision of the personnel assigned to the Contract. Support the organization in its mission to help change lives through the power of work.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Review contract modifications, develop business models/processes, and create/review costing packages.
  • Review all documents/forms required for hiring actions on availability of applicants and the status of hiring applicants.
  • Maintain a complete file system of all office/contract-related correspondence to include work instructions and organization charts.
  • Responsible for completion of required monthly invoicing, to include any monthly government billing for reimbursement as authorized by contract.
  • Ensure all team members’ punches and paid time off hours are updated in the time & attendance system.
  • Review the inventory of furnished equipment/property as stated in the Statement of Work.
  • Coordinates with facility management/contractors on facility renovations, emergency work, and general facility issues.
  • Review in-take hiring procedures to include in-processing checklists and emergency contact/data forms.
  • Provide daily, weekly, monthly, quarterly, and yearly reports as required by the Director of Work Services and/or contract.
  • Develops and maintains own skills by participating in required training opportunities.
  • Adheres to occupational safety procedures to include being an awareness ambassador for Risk Management.
  • Reviews financials monthly and ensures billing is applied correctly to decrease audit findings.
  • Prepare and deliver timely performance appraisals for direct reports, and ensure performance appraisals for assigned work units are completed on time and in a quality manner. Coordinate with Human Resources to administer rewards and recognition, promotions, transfers, disciplinary actions, or terminations in accordance with the organization’s policies and applicable laws.
  • Adhere to, and ensure adherence to, all Loss Prevention and inventory control and compliance, risk management, and ethics policies and procedures. Safeguard donations and all Goodwill property and resources; secure from harm, theft, accidental loss, or disposal. Promptly investigate or participate in investigations for all reported incidents.
  • Maintain harmonious working relations between team members. Ensure team member complaints are promptly addressed, and follow through to resolution.
REQUIREMENTS
  • 5+ years of experience performing similar work. Supervisory/management experience required.
  • 7+ years of experience performing similar work.
  • Experience with military records/contracts helpful.
  • Supervision/management of medium to large teams helpful.
  • OR equivalent combination of education, experience and/or military training.
  • Demonstrate competency in Excel, Microsoft Word, and Access computer software.
  • Communicate effectively both verbally and in writing
  • Must be able to meet the physical requirements of the position.
  • For positions that require driving, must maintain a valid driver’s license and automobile insurance coverage, and be able to travel as needed if you drive your vehicle during company business.
