Birmingham Heart Clinic in Birmingham, AL is seeking a Medical Practice Office Manager to lead the administrative and clinical support for our physicians, staff, and patients. You will oversee scheduling, billing, insurance verification, timekeeping, PTO approvals, OSHA/HIPAA compliance, and recruiting/hiring of front office personnel while fostering teamwork and a safe, compliant office environment.

This role requires a strong communicator with at least five years of admin/clinical experience

Qualifications

  • High school diploma or GED required; a Bachelor's degree is preferred.
  • At least five years of professional administrative/clinical experience in a medical setting.
  • Valid state driver's license and minimum auto insurance.
  • Cardiology practice experience preferred but not required.

Responsibilities

  • Oversee administrative and clinical duties related to physician(s), patients, and staff.
  • Manage front desk tasks including check-in/check-out, scheduling, insurance verification, and precertification.
  • Handle patient financials, payment collection, and timely payroll/payment approvals.
  • Coordinate physician call schedules, time off, meetings, and travel as needed.
  • Ensure OSHA and HIPAA compliance and a safe workplace.
  • Recruit, hire, train, and evaluate front office/clinical staff.
  • Collaborate with Operations and HR to address office issues.

US Heart and Vascular is in need of a Medical Practice Office Manager to join our team at Birmingham Heart Clinic in Birmingham ALResponsibilities:Is responsible for professional administration of assigned office. Includes responsibility for, and oversight of, administrative and clinical duties related to physician(s), patients and all employee(s).Ensures appropriate communication to facilitate office compliance related to Company and regulatory policies and practices.Negotiates and arranges financial arrangements with patients.Ensures and oversees OSHA and HIPAA requirements for the practice.Ensures efficient function of the office through proper employee scheduling. Accepts, considers and approves/denies employee requests for PTO.Ensures employees are correctly administering time sheets.Ensures time submitted for payment is accurate and complies with Company policy.Approves time for payment in a timely manner.Supervises and/or performs Check In, Check Out, scheduling, insurance verification/precertification and payment collection process as required due to office demands.Partners with Operations and Human Resources to address offices issues and/or employee concerns to the appropriate party.Participates in recruitment, hiring, counseling, and termination of front office/clinical staff.Performs annual evaluations on front office/clinical personnel.Maintains and coordinates physician call schedules, physician time off, meetings and any other scheduling needs for physicians.Actively demonstrates teamwork at all times.Follows other policies and procedures such that there are no verbal or written warnings during the evaluation period.Maintains a safe workplace by following established safety protocols, reporting hazards, and participating in required safety training.When position requires travel to/from other locations, ensures vehicles are operated and maintained in compliance with all safety, regulatory, and company requirements.Fosters a team-oriented environment by encouraging cooperation, providing support, and resolving conflicts constructively.Demonstrates integrity, professionalism, and respect in all interactions.Follows processes and policies for the organization.Reports to work as scheduled, ready to perform duties, and promptly notify their supervisor of any attendance issues.Adapts to changing priorities, processes, and business needs.Performs other duties as assigned.Requirements:High school diploma or GED from accredited institution.Bachelors degree preferreFive (5) years professional administrative / clinical experience at increasing levels of responsibility in a medical environment.Current valid state driver’s license and required minimum auto insurance coverage.Cardiology practice experience is preferred but not requiredWhy Choose Us?• Comprehensive benefits package• Monday-Friday schedule• CME allowanceAbout Birmingham, AL:Birmingham blends history, culture, and a growing job market.
