Job summary

NC State University is seeking a Maintenance Planner/Scheduler to oversee and enhance the preventive maintenance program across campus facilities. You will coordinate work orders, manage procurement, and collaborate with trade shops to keep systems reliable and compliant.

Ideal candidates will have an associate degree or equivalent, previous facilities maintenance experience, and a valid NC driver’s license.

Qualifications

  • Associate’s Degree or equivalent combination of training and experience.

  • Accredited degree must be from an appropriately accredited institution.
  • Hands-on building mechanical trades experience.
  • Experience in facilities maintenance and operations, particularly in building and mechanical systems.
  • Experience in university or commercial settings.

Responsibilities

  • Manage and process work orders, material requests, and procurement.
  • Provide leadership to Journey and Contributing Planners.
  • Monitor budgets in Wolf Reports and advise on expenditures.
  • Track work order activity in AiM for time and billing.
  • Create reports and documents using Word, Excel, and Access.
  • Coordinate with Project Managers and Shop Supervisors to schedule shutdowns.
  • Validate labor and material costs using AiM contracts.
  • Ensure safety training in line with PPE standards.
  • Develop estimates, timelines, and conduct inspections for quality.
  • Communicate with supervisors, coworkers, and the public.

Essential Job Duties

Are you a detail‑oriented professional with a passion for facilities management and preventive maintenance? We are seeking a dedicated Maintenance Planner/Scheduler to oversee and enhance our preventive maintenance program. In this role, you will coordinate and schedule maintenance activities across buildings, operations, and capital improvement projects. You will also collaborate with trade shops, troubleshoot maintenance issues, and conduct inspections to ensure compliance with safety and operational standards. Depending on the work environment, you may specialize in programs and projects related to sustainable energy practices, asbestos abatement, environmental concerns, refrigerants, and other key initiatives. Key responsibilities and duties include, but are not limited to:
  • Manage and process work orders, material requests, and procurement for maintenance operations.
  • Provide leadership and guidance to Journey and Contributing Planners.
  • Monitor and review budget accounts in Wolf Reports, offering recommendations for financial planning and expenditures.
  • Track and manage work order activity in AiM to ensureaccurate time tracking, billing, and status updates.
  • Utilize Word, Excel, and Access to create reports, documents, and spreadsheets for project tracking and planning.
  • Ensure the effectiveness of the work order management program by monitoring its progress and making necessary improvements.
  • Track equipment, materials, and project costs while ensuring accurate billing through the AiM system.
  • Coordinate with Project Managers, Shop Supervisors, and Building Liaisons to schedule system shutdowns and meet project deadlines.
  • Validate labor and material costs using AiM vendor contracts and university procurement resources.
  • Oversee safety and health training schedules for trade shop employees, ensuring compliance with Personal Protective Equipment ( PPE ) standards and university safety protocols.
  • Develop accurate estimates, create project timelines, and conduct inspections to ensure all work meets quality standards.
  • Communicate effectively with supervisors, coworkers, and the general public, and follow verbal and written instructions related to work assignments and operational needs.
Other Responsibilities
  • This position has been designated as essential personnel for the University and may be required to report to work during adverse weather conditions even though the University may be operating on an alternate schedule. This position may assist with snow and ice removal under the direction of a supervisor.
  • Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities.
Qualifications
Minimum Experience/Education

Associate’s Degree in the assigned discipline; or an equivalent combination of training and experience.

Some positions may require certification. All degrees must be received from appropriately accredited institutions.

Preferred Qualifications
  • Hands‑on experience in one or more building mechanical trades.
  • Experience in facilities maintenance and operations, particularly in building and mechanical systems.
  • Prior experience working in a commercial or university setting.
Required License Or Certification
  • Valid driver’s license required.
  • North Carolina driver’s license required within 60 days of hire and must be maintained.
