Job description

The Mail Services Coordinator runs the daily flow of mail, packages, and specialized shipments for the people across the site who depend on it. You own the daily flow of mail and packages for a client location, including digital mail, sorting, distributing, processing outbound shipments, and keeping the mailroom running accurately and on schedule.

In this role, you will also support the safe, accurate, and timely shipment of research and development materials, including domestic, international, temperature-controlled, and dry ice shipments. You will be successful in this role when you sort, log, prepare, and deliver every piece of mail and every package to the right recipient on schedule, and get outbound shipments out accurate and confirmed.

What You'll Do:

  • Deliver mail, packages, copy products, and stationery to assigned groups on the daily schedule so employees get what they need when they expect it.
  • Deliver packages the same day or notify the consignee of next-day arrival.
  • Package research and development samples according to shipping instructions and applicable procedures.
  • Prepare domestic and international shipments, including temperature-controlled and dry ice shipments, using the appropriate packaging, temperature monitors, labels, and shipping documentation.
  • Apply correct postage and required identification to outgoing mail and packages so items reach their destination the first time.
  • Package and protect all outgoing shipments against damage in transit.
  • Coordinate shipment details and pickup timing with requestors, logistics teams, and carriers.
  • Review shipment paperwork for accuracy and maintain required records and tracking information.
  • Follow applicable safety, quality, and shipping requirements, including DOT/IATA procedures.
  • Stock copy rooms and serve as first point of contact for copier fleet production issues so employees are not held up at the printer.
  • Check and replenish mail and postage supplies daily.
  • Respond to inquiries and complaints from clients, co-workers, and supervisors.
  • Keep the shipping area organized and promptly communicate delays, discrepancies, or shipment concerns.
Qualifications

What You'll Need:

  • 2 or more years of mailroom or delivery experience.
  • Comfortable with standard workplace and collaboration tools (email, documents, spreadsheets, and scheduling).
  • Physical ability to lift and transport packages.
  • Strong preference for experience in a corporate mailroom or delivery environment and familiarity with postage systems or package tracking tools.
