Job description

The Mail Room Lead is responsible for overseeing the daily operations of the mailroom, ensuring the accurate and timely processing, sorting, and distribution of incoming and outgoing mail. The role often includes managing a small team, maintaining equipment, and liaising with other departments to ensure smooth mail operations.

Primary Duties & Responsibilities

  • Supervision: Lead and supervise mailroom staff, including scheduling, training, and performance management.
  • Mail Processing: Oversee the sorting and distribution of incoming mail and packages, ensuring accuracy and efficiency.
  • Outgoing Mail: Coordinate the preparation and dispatch of outgoing mail, including packages and special deliveries.
  • Equipment Management: Maintain mailroom equipment, including postage machines, scanners, and sorting machines; arrange for repairs and replacements as needed.
  • Compliance: Ensure mailroom operations comply with company policies, safety regulations, and postal guidelines.
  • Inventory Management: Track and manage inventory of mailroom supplies, including envelopes, labels, and postage.
  • Customer Service: Address inquiries and concerns from employees and other stakeholders regarding mail services.
  • Reporting: Prepare and maintain records of mailroom activities, including volumes, expenses, and staffing needs.

Education & Experience

  • High school diploma or equivalent.
  • Previous experience in a mail room or administrative role preferred.
  • Strong organizational and time-management skills.
  • Ability to lead and motivate a team.
  • Excellent communication and interpersonal skills.
  • Proficiency in basic computer applications.
