Hart Ranch Camping Resort is seeking a Mail Room Associate to provide outstanding customer service and ensure accurate processing of mail and packages. The role requires attention to detail, organization, and the ability to work independently or with a team.

Responsibilities include greeting guests, handling mail from carriers, logging outgoing mail, and assisting multiple resort departments with mailing tasks.

Qualifications

Summary: The Mail Room Associate is responsible for providing outstanding customer service while ensuring the accurate and timely processing of incoming and outgoing mail and packages. This position maintains mailroom operations, supports resort departments with mailing projects, and assists Members and guests in a friendly, professional manner. Success in this role requires strong attention to detail, organization, and the ability to work independently and as part of a team.

Overall Responsibilities of the Mail Room Associate:

• The Mail Room Associate will provide service to guests in a professional and gracious manner. He/She will focus on creating a warm and welcoming environment for guests.
• Meets or exceeds Member service expectations.
• Works well with other team members, assisting in training and mentoring.
• Adheres to Hart Ranch Camping Resort Employee Handbook and Employee Safety Manual.
• Performs other duties as assigned.

The Mail Room Associate will:

• Greet guests immediately with a friendly and sincere welcome. Use a positive and clear speaking voice, listen to and understand requests, respond with appropriate actions and provide accurate information.
• Perform light physical activity.
• Receive mail at Mail Room from U.S. letter carrier, U.P.S., Amazon, etc., and sign for registered or certified letters, U.P.S. packages and FedEx.
• Process both incoming and outgoing mail in an accurate and timely manner, according to rules in place and any changes made.
• Ensure all Mail Forwarding customers have appropriate documents, including 1583’s and identification.
• Assist in ensuring that all SOP’s and manuals are accurate and updated.
• Operate office machinery.
• Track individual Member postage account balances in Company database.
• Log, pack and track the cost of Member outgoing mail.
• Work with various departments to assist in miscellaneous tasks as needed, such as Business Office, Human Resources, and Membership Department bulk mailings.
• Ensure opening and closing mailroom procedures are consistently administered daily.
• Remain calm and alert, especially during emergency situations and/or heavy Resort activity.
• ALL mailroom personnel will be expected to be cross trained in all aspects of the mailroom.

Job Requirements:

M inimum of high school diploma. Must be a motivated self-starter. Must be able to work independently as well as be a productive member of the team. Ability to lift 30-50 pounds. Frequently required to stand; walk; sit; use hands to manipulate, handle, or feel; reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl. Must be able to work all shifts, weekends, holidays & special events as needed. Min of 25 hours per week.
