Job summary

DCM Services LLC is seeking a Mail Processes Specialist in Bloomington, MN to manage the flow of incoming and outgoing mail, perform scanning and indexing tasks, and ensure accuracy and security across documents. The role emphasizes attention to detail, initiative, and collaboration with the Payment Processing team.

Qualifications

• Associate's degree or equivalent experience required.
• Strong attention to detail and ability to prioritize and multi-task.
• Ability to work with minimal supervision while showing initiative.
• Clear verbal and written communication skills.
• Proficiency with Microsoft Office (Excel and Word).
• Comfortable suggesting process improvements while maintaining document control standards.
• Ability to sit or remain at a workstation for the duration of a shift.
• Regular, reliable attendance.

Responsibilities

• Process incoming mail — opening, identifying clients, assessing document criticality, prepping, scanning, and retention in accordance with company and client procedures
• Create balance control spreadsheets for payments received via incoming mail and perform quality assurance review prior to hand-off to Payment Processing
• Gather, prep, and scan documents received from clients, including quality assurance review
• Perform quality assurance review, prepping, and posting of outbound mail
• Use Datacap software to index correspondence to accounts, following all company and client procedures
• Help maintain the imaging room and scanning equipment
• Provide backup support to the Mail Processes Manager, including troubleshooting batch issues and quality assurance procedures as needed
• Understand and adhere to company information, security, and privacy policies
