Job summary

Mays Plastic Surgery is seeking a detail-oriented Consultation Coordinator & Surgery Scheduling Support to manage surgical consultations, nurture online leads, and back up the Surgery Scheduling team. The role emphasizes a high-touch patient experience and professional communication in a fast-paced plastic surgery setting.

Ideal candidates are highly organized, personable, and comfortable discussing procedures with prospective patients, with strong documentation and HIPAA adherence.

Qualifications

• Experience in a medical office, plastic surgery, aesthetics, healthcare, hospitality, or similar customer-facing environments.
• Experience with surgical scheduling, patient coordination, or medical consultations preferred.
• Excellent verbal and written communication skills.
• Strong organizational and time-management skills.
• Ability to manage multiple leads, calls, follow-ups, and scheduling responsibilities.

Responsibilities

• Answer and manage all incoming surgical consultation calls and inquiries.
• Respond promptly and professionally to prospective surgical patients.
• Gather patient information during initial calls (demographics, contact, procedure, history).
• Schedule surgical consultations and document information.
• Monitor and respond to online surgical leads and convert qualified leads.
• Provide scheduling coverage during vacations or high volume periods.
• Maintain accurate records and documentation in EMR systems.
• Ensure HIPAA compliance and protect patient privacy.
• Collaborate with surgeons, schedulers, nurses, front desk staff.
