Job summary

Ponte Vedra Inn & Club is hiring a Catering & Conference Services Manager to lead events from planning through execution, coordinating with clients and resort departments to ensure exceptional service.

The role requires experience in catering, conference services, and events, with a strong focus on communications, upselling, and precise event documentation. Expect full-time shifts including evenings, weekends, and holidays in a luxury resort setting.

Qualifications

• Degree or equivalent in hospitality, business, marketing, or related field preferred.
• Minimum 2 years in catering, conference services, events, or hospitality sales.
• Strong computer proficiency and organizational skills.
• Excellent written and verbal communication abilities.
• Knowledge of food and beverage, banquet operations, and event planning.
• Ability to read, write, and speak English fluently.

Responsibilities

• Sell, coordinate, and execute catering events from planning to completion.
• Serve as primary client contact with timely communication and service.
• Conduct site tours, respond to inquiries, and develop repeat business.
• Develop BEOs and communicate event details to operations.
• Coordinate menus, beverages, rentals, logistics, and timelines.
• Maintain knowledge of menus, services, and event capabilities; upsell where appropriate.
• Monitor guarantees, deposits, attendance, staffing, and deadlines.
• Ensure accurate updates in departmental systems and internal communication.
• Attend planning and BEO meetings and communicate updates.
• Provide on-site event management and client/vendor coordination.
• Build relationships with clients, members, vendors, and departments.
• Stay current on catering and conference trends to enhance guest experience.
• Maintain flexibility for evenings, weekends, and holidays as needed.
• Support leadership with admin tasks and other duties as assigned.
