Job summary

SWCA Environmental Consultants seeks a Logistics Specialist for our Lombard, IL operations and field staff. The role supports the Operations Administrator with office administration, reception, travel logistics, document production, project coordination, and business development support.

It is a hybrid, 40-hour week, non-exempt position based in Lombard. The candidate will manage logistics for field teams, coordinate travel and equipment, maintain field data, and assist with safety and fleet

Qualifications

• Minimum of a High School diploma (or GED equivalent).
• Excellent communication, multi-tasking, and interpersonal skills.
• Proficient with MS Office applications including Word, Excel, PowerPoint, and Outlook.
• Must have a current and valid driver's license, with the ability to drive multiple types of vehicles and trucks.
• Must be able to run office errands with minimal notice during business hours.
• Willingness to jump into various types of tasks and learn new things to support our team as needs arise.
• Experience with scheduling and meeting coordination
• Ability to write and communicate clearly.
• Strong customer service approach and problem-solving ability.

Responsibilities

• Manage program and project logistics for construction compliance staff; coordinate with project/task managers and directors; assist with project schedules; schedule staff for fieldwork; arrange travel, vehicles, equipment, and supplies; support fieldwork logistics and expense reporting.
• Develop strong working relationships with leads and directors for planning and resources and learn team/individual skillsets.
• Manage supply inventory, maintenance, organization, and billing of field data and safety equipment; inventory and purchase field supplies and technology assets (tablets, GPS, SPOT).
• Manage and organize safety gear, secure travel, forms, data; support field house management and tenant support; track expenditures and reconcile billing and credit card statements; provide document production and mailing support; organize project and safety records.
• Procure Certificates of Insurance to meet contract requirements as needed.
• Manage a fleet of company-owned and rental vehicles; coordinate maintenance and repairs.
