Job summary

SWCA Environmental Consultants seeks a Logistics Specialist for our Lombard, IL operations and field staff. The role supports the Operations Administrator with office reception, travel logistics, document production, and project coordination in a hybrid Lombard office.

The position is 40 hours per week, non-exempt, with benefits. The successful candidate will work closely with a diverse team of technical staff, coordinate staff schedules, manage supplies and safety gear, and assist with billing

Qualifications

  • Minimum of a High School diploma (or GED).
  • Excellent communication, multi-tasking, and interpersonal skills.
  • Proficiency with MS Office applications (Word, Excel, PowerPoint, Outlook).
  • Valid driver’s license and ability to drive multiple vehicle types.
  • Ability to run office errands during business hours.
  • Willingness to learn new tasks to support the team.

Responsibilities

  • Coordinate program and project logistics for staff and fieldwork, including travel and scheduling.
  • Develop relationships with leads and directors for planning and services.
  • Manage supply inventory and equipment, including data collection devices; handle expense reporting.
  • Provide document production, mailing support, and organize project and safety files.
  • Procure insurance certificates to meet contract requirements as needed.
  • Manage fleet vehicles and coordinate maintenance and repairs.

About the opportunity

SWCA Environmental Consultants seeks a Logistics Specialist for our Lombard, IL operations and field staff. The ideal candidate is a proactive, organized problem solver with strong communication skills, dedicated to supporting a diverse team of technical specialists for smooth and efficient operations. This position is responsible for providing supporting to our Operations Administrator in office administrative support, office reception, travel logistics coordination, document production, project and business development coordination, and potentially serve as an office safety representative.


This is a regular (with benefits), 40-hour/week hourly, non-exempt position. This role will be based out of the Lombard, IL office and will report into our Associate Operations Administrator. This position will be hybrid.

What you will accomplish

Logistics Coordination:



  • Manage program and project logistics for construction compliance staff, including coordinating with project/task managers and directors regarding project needs; assisting with preparation of and updates to project schedules; coordinating and scheduling staff for fieldwork; arranging travel, vehicles, equipment, and supplies for staff; supporting fieldwork logistics and coordination; collecting safety forms and expense receipts; and assisting staff with expense reporting.

  • Develop strong working relationships with leads and directors for planning, cultural resources, and natural resources and learn team/individual skillsets and services provided to more efficiently schedule staff.

  • Manage supply inventory, maintenance, organization, and billing of field data and safety equipment, including inventorying and purchasing field supplies and technology asset management (e.g., field tablets, GPS equipment, and SPOT devices).

  • Manage and organize safety gear, secure travel, outgoing and incoming forms, and data; support field house management and tenant support; track expenditures and reconcile billing and credit card statements; provide document production and mailing support; and organize project and safety records and files.

  • Procuring Certificates of Insurance to meet contract requirements as needed.

  • Manage a fleet of company-owned and rental vehicles and coordinating vehicle maintenance and repairs as needed.


Administrative Responsibilities:



  • Oversee administrative tasks such as office supply orders, mail/FedEx, picking up groceries/errands, document production, and other office-related tasks.

  • Coordinate both onsite and offsite meetings, conferences, and community volunteer events.

  • Collaborate with corporate departments as directed.

  • Coordinate monthly office expense reporting, track office expenditures, and reconcile office credit card statements.


Experience and qualifications for success

Required qualifications:



  • Minimum of a High School diploma (or GED equivalent)

  • Excellent communication, multi-tasking, and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment.

  • Demonstrated proficiency with MS Office applications including Word, Excel, PowerPoint, and Outlook.

  • Must have a current and valid driver’s license, with the ability to drive multiple types of vehicles and trucks.

  • Must be able to run office errands with minimal notice during business hours.

  • Willingness to jump into various types of tasks and learn new things to support our team as needs arise.

  • Experience with scheduling and meeting coordination

  • Ability to write and communicate clearly.

  • Strong customer service approach and problem-solving ability.


Desired qualifications:



  • Bachelor’s degree in business, accounting, or related discipline.

  • Minimum of one (1) years of experience in office management, logistics, or administrative assistance experience highly preferred.

  • Experience working for an environmental consulting, engineering, or construction firm.

  • Experience with Deltek Vision or other CRM software; experience with SharePoint.

  • Experience with other software applications such as Adobe Acrobat.

  • Budget tracking, reporting, or equivalent experience.

  • Ability to assertively negotiate rates with hotels and manage relationships with car rental agencies.

  • Experience with technology asset inventory and management; specific to field data collection tablets and GPS devices, or a strong willingness to learn this.

An employee in this Chicago-based position can expect an hourly rate of $21.35- $27.53. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
