Job Summary:

This position oversees the planning, logistics, scheduling, event communication, and operational execution of college events and campus activities in support of Volunteer State Community College's mission and community engagement. This role collaborates with departments, community partners, and external organizations to ensure events are strategically aligned, operationally sound, and effectively communicated while maximizing campus resources.

Job Duties:

Supervises staff by assigning projects, monitoring workload and progress. Oversees the planning, coordination, and execution of all internal college events, including meetings, convocations, campus celebrations, forums, training, and special initiatives, while serving as the primary point of contact for external event requests. Coordinates all event logistics, including space reservations, facility setup, audio-visual support, equipment needs, catering coordination when applicable, event timelines, and operational requirements to ensure events are executed professionally, efficiently, and in accordance with Volunteer State Community College branding and standards. Oversees the College's scheduling and space management system. Manages campus space allocation requests, ensuring efficient and strategic use of campus facilities. Collaborates with departments and divisions to balance instructional, operational, and event-related space needs. Maintains the accuracy and integrity of the College's official event calendars to ensure timely publication of events and consistent communication to internal and external audiences. Serves as the central coordinator for campus space utilization, event logistics, and institutional event communications by managing the College's internal and external event calendars. Maintains oversight of event-related equipment and materials, branded assets, and other event resources. Responsibilities include coordinating the setup, breakdown, storage, maintenance, and readiness of event materials, identifying replacement or enhancement needs, and making recommendations to support successful event execution. Works closely with Marketing, Communications, and Media Services to coordinate event timelines and ensure events are promoted effectively through appropriate communication channels while maintaining accurate and timely event information. Builds and maintains strong working relationships across all divisions and campuses and serves as a trusted resource to departments by providing guidance, structure, and logistical solutions for college events. Other duties as assigned.

Minimum Qualifications:

Bachelor’s degree and one year of experience in event coordination, scheduling, facilities coordination, project management, or a related role OR Associate’s degree and three years of experience in event coordination, scheduling, facilities coordination, project management, or a related role.

Preferred Qualifications:
  • Bachelor’s degree in Marketing, Communications, Event Management, Hospitality, or a related field.
  • Experience in higher education or a large, multi-unit organization.
  • Familiarity with space management or scheduling software.
  • Experience coordinating both internal and external events.
Knowledge, Skills, and Abilities:
  • Strong organizational and project management skills with exceptional attention to detail.
  • Demonstrated ability to manage multiple events and priorities simultaneously.
  • Excellent interpersonal and communication skills; ability to build rapport and work collaboratively across varied teams.
  • Comfort working with scheduling systems, databases, and event management tools.
  • Ability to anticipate needs, solve problems, and adapt in fast-paced environments.
  • Strong customer-service mindset with a calm, professional presence.
  • Commitment to Volunteer State Community College’s mission with a student and community centered approach.
  • Ability to work in a collaborative, cross-functional environment.
  • Demonstrated ability to assess competing priorities and make sound operational decisions.

Pay Rate:

$48,694 - $60,868 annual salary depending on experience
