Event Coordinator
Nevada State University invites applications for the position of Event Coordinator. The coordinator serves as a central resource for campus‑wide event scheduling and coordination, managing a high volume of event requests annually and overseeing the scheduling, logistical coordination, and operational support for a wide variety of student, departmental, institutional, and community events held in non‑academic campus spaces.
Primary Responsibilities
- Coordinate the scheduling, review, and administration of campus event requests for non‑academic spaces, managing a high volume of concurrent events while ensuring compliance with university procedures and established timelines.
- Coordinate event logistics from initial request through event completion, including room scheduling, setup planning, room diagrams, audio‑visual requirements, vendor coordination, catering requests, and after‑hours building access.
- Serve as a primary liaison between event organizers and campus partners, including Facilities, Information Technology Services, University Police, Dining Services, Marketing, and approved vendors to ensure successful event execution.
- Provide consultative guidance to faculty, staff, students, and campus departments regarding event planning processes, space utilization, scheduling procedures, logistical considerations, and university event policies.
- Evaluate event requests, identify scheduling conflicts or logistical challenges, recommend appropriate solutions, and independently coordinate routine event operations while escalating higher‑risk or specialized issues as appropriate.
- Maintain accurate event information within specialized event‑management systems, including 25Live and Localist/Concept3D, ensuring the university's public events calendar is accurate, timely, and up to date.
- Train, mentor, and provide workflow guidance to temporary professional staff while contributing to process improvements that enhance departmental efficiency and service delivery.
- Support planning and execution of signature university events by coordinating assigned event components, collaborating with cross‑functional planning teams, and providing on‑site event support as needed.
- Assist with special projects and other duties as assigned in support of the Office of Marketing and Events.
Required Qualifications
- Bachelor's degree from a regionally accredited college or university in hospitality, event management, communications, business, marketing, or a related field.
- Two (2) years of professional experience coordinating events, event operations, conference services, hospitality operations, or a related field; or a master's degree in a related field and one (1) year of related professional experience.
- Demonstrated ability to independently manage multiple concurrent projects, priorities, and deadlines in a fast‑paced, customer‑focused environment.
- Strong organizational, critical thinking, and problem‑solving skills with the ability to assess complex situations, exercise sound judgement, recommend practical solutions, and adapt to changing priorities.
- Excellent written, verbal, and interpersonal communication skills with the ability to build collaborative relationships with diverse stakeholders.
- Experience coordinating event logistics, facility scheduling, or operational workflows requiring attention to detail and accuracy.
- Experience using business technology and software applications, including Microsoft Office Suite, and the ability to quickly learn specialized event management systems.
- Ability to work independently while contributing effectively as part of a collaborative team.
- Ability to work occasional early mornings, evenings, and weekends in support of university events.
- Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment‑related visas).
Preferred Qualifications
- One (1) or more years of professional experience coordinating events in a higher education, conference services, hospitality, or similarly complex environment.
- Experience coordinating multiple concurrent events while balancing competing priorities, deadlines, and stakeholder needs.
- Experience with facility scheduling, event logistics, and space coordination.
- Experience using event management and scheduling systems such as 25Live, Localist/Concept3D, Social Tables, Asana, Canva, or similar platforms.
- Knowledge of event management best practices, including logistical planning, room configurations, audio‑visual coordination, vendor management, and customer service.
- Experience collaborating with cross‑functional teams and coordinating with multiple departments to successfully execute events.
- Experience interpreting and applying organizational policies, procedures, and operational guidelines in support of event planning and execution.
- Demonstrated ability to take initiative, exercise sound judgement, and proactively identify opportunities to improve processes and enhance the customer experience.
Salary & Benefits
Budgeted salary for this position is $61,553. Nevada State University offers retirement match, annual leave days, sick leave days, paid holidays, educational benefits, and health insurance plans that may be supplemented with flexible spending accounts or health savings accounts.
