Job summary

VirtualPros US is seeking an Operations & Onboarding Manager to oversee the entire onboarding lifecycle for agents, including licensing, carrier contracting, and activation, while coordinating with sales, compliance, and leadership to ensure adherence to standards.

The role focuses on building scalable processes, improving performance metrics, and maintaining strong carrier relationships to support rapid growth and operational health within the organization.

Qualifications

• Experience in operations, onboarding, contracting, or related field.
• Life insurance industry experience is strongly preferred.
• Knowledge of carrier contracting, licensing, persistency, and compliance preferred.
• Previous experience managing or supervising a team.
• Strong leadership, organization, and problem-solving skills.
• Comfortable working with reports, KPIs, spreadsheets, and operational systems.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent communication skills and strong attention to detail.
• Proficient in English; Spanish language skills are a plus.

Responsibilities

• Lead onboarding, contracting, and operational support functions.
• Oversee end-to-end onboarding from licensing through activation and sales readiness.
• Develop and mentor onboarding/ops teams to ensure performance and service standards.
• Maintain relationships with life insurance carriers and resolve issues.
• Monitor onboarding timelines, persistency, placement, production, chargebacks, and compliance.
• Review operational reports to identify trends, risks, bottlenecks, and improvements.
• Conduct and supervise internal audits to ensure compliance with standards.
• Collaborate with sales leadership to address performance and compliance concerns.
• Create and improve workflows, reporting systems, and accountability standards.
• Track and present onboarding and operational KPIs to executives.
• Partner with recruiting, training, sales, compliance, and leadership for smooth agent experience.
• Continuously optimize processes to support growth and scalability.
