Job summary

Speaks Law Firm is seeking a full-time Legal Intake Coordinator to handle a high volume of client inquiries and onboarding, in a remote role. You will manage intake assessments and set up new client files while ensuring accurate records and KPI reporting.

The position requires flexible evening/weekend hours (5pm–11pm) and NC residency despite the remote work setup. Prior law firm experience and Spanish language skills are advantageous.

Qualifications

• Associates degree or higher preferred; high school diploma or equivalent required.
• Minimum of two years of customer service experience.
• Minimum of one year experience in a law firm, preferably personal injury.
• Bilingual Spanish a plus.
• Experience with SmartAdvocate a plus.
• Intermediate to advanced knowledge of MS Word, Excel, and Outlook.
• Attention to detail and ability to multitask while handling high call volume.
• Passion for customer service and advocating for clients.

Responsibilities

• Respond to all client inquiries by phone, email, chat, etc. in a timely manner.
• Engage in warm and professional conversations with potential clients.
• Build rapport, establish trust, and ensure clients feel heard and understood while walking them through the intake assessment.
• Effectively communicate the firm's vision, mission, and core values to potential clients.
• Set up new client case files in CSM.
• Confirm receipt of all relevant documents (i.e., legal documents, medical records, billing records, lien information).
• Maintain accurate and detailed records of all client interactions and information in our database.
• Assist with documentation, data analysis, conversion rates, and client referrals.
• Responsible for KPIs and subsequent reporting.
• Provide accurate and comprehensive information about the client and their case to facilitate efficient case management.
• All other duties as assigned.

The Intake Coordinator plays a crucial role in the client onboarding process and contributes to ensuring a seamless and professional experience for all clients. This role requires handling a high volume of phone calls. Must be able to work flexible hours on evenings and weekends from 5pm - 11pm. This is a remote position and candidates must currently reside in North Carolina.

Compensation

The is a full-time hourly position starting at $19 depending on experience.
