Speaks Law Firm in North Carolina seeks a full-time Legal Intake Coordinator to join our legal team. This remote role supports client onboarding and handles a high volume of phone calls, with flexible evening and weekend hours from 5pm to 11pm.

Responsibilities include responding to inquiries, setting up new client files, documenting interactions, and KPI reporting. Requires customer service experience and law firm exposure preferred.

Qualifications

• Associates degree or higher preferred; high school diploma or equivalent required.
• Minimum of two years of customer service experience.
• Minimum of one year in a law firm, preferably personal injury.
• Bilingual Spanish is a plus.
• Experience with SmartAdvocate is a plus.
• Proficient in MS Word, Excel and Outlook.
• Strong attention to detail and ability to multitask while handling high call volume.
• Passion for customer service and advocating for clients.

Responsibilities

• Respond to client inquiries by phone, email, chat, etc.
• Engage in warm, professional conversations with potential clients.
• Walk clients through intake assessment and set up new client files in the system.
• Communicate the firm's vision, mission and values to clients.
• Confirm receipt of documents and maintain accurate records.
• Assist with data analysis, conversion rates and referrals.
• Contribute to KPI reporting and case management support.
• Provide accurate information to facilitate efficient case handling.

Speaks Law Firm is seeking a full-time Legal Intake Coordinator to join our legal team. The Intake Coordinator plays a crucial role in the client onboarding process and contributes to ensuring a seamless and professional experience for all clients. This role requires handling a high volume of phone calls. Must be able to work flexible hours on evenings and weekends from 5pm - 11pm. This is a remote position and candidates must currently reside in North Carolina.

Responsibilities

• Respond to all client inquiries by phone, email, chat, etc. in a timely manner
• Engage in warm and professional conversations with potential clients
• Build rapport, establish trust, and ensure clients feel heard and understood while walking them through the intake assessment
• Effectively communicate the firm's vision, mission, and core values to potential clients
• Set up new client case files in CSM
• Confirm receipt of all relevant documents (i.e., legal documents, medical records, billing records, lien information)
• Maintain accurate and detailed records of all client interactions and information in our database
• Assist with documentation, data analysis, conversion rates, and client referrals
• Responsible for Key Performance Indicators (KPIs) and subsequent reporting
• Provide accurate and comprehensive information about the client and their case to facilitate efficient case management
• All other duties as assigned

Qualifications

• Minimum of one (1) year experience in a law firm preferably personal injury preferred
• Bilingual Spanish a plus
• Experience with SmartAdvocate a plus
• Intermediate to advanced knowledge of MS Word, Excel, and Outlook required
• Attention to detailand a bility to multitask while handling a high volume of phone calls
• Must have a passion for customer service and advocating for our clients

Compensation

The is a full-time hourly position starting at $19 depending on experience.
