The Legal Contracts Administrator will be responsible for coordinating the contract lifecycle, maintaining accurate legal and business records, tracking deadlines and renewals, and supporting stakeholders with contract-related documentation and processes. The ideal candidate has strong organizational skills, excellent attention to detail, and experience working with contracts, agreements, legal documents, or corporate administrative processes. This role works closely with internal departments, vendors, clients, and other business partners to ensure contracts are properly documented, executed, maintained, and renewed in a timely manner.
Key Responsibilities
- Coordinate the contract lifecycle, including drafting support, review routing, approvals, execution, amendments, renewals, and closeout.
- Prepare, organize, and maintain contracts, agreements, amendments, statements of work, NDAs, and other legal/business documentation.
- Track contract expiration dates, renewal deadlines, notice periods, and other critical obligations.
- Maintain an organized electronic contract database and ensure records are complete, accurate, and easily accessible.
- Route contracts to appropriate internal stakeholders for review, approval, and signature.
- Monitor contract status and follow up with internal teams, vendors, and business partners to keep agreements moving forward.
- Review contracts for completeness, required signatures, dates, supporting documentation, and adherence to established administrative procedures.
- Assist with contract templates, standardized forms, and document management processes.
- Maintain confidential and sensitive legal and business information with discretion.
- Support audits and internal reporting by providing contract documentation and status information as needed.
- Coordinate with Finance, Procurement, Operations, HR, Compliance, and other departments regarding contract-related requirements.
- Maintain accurate records of vendor agreements, service contracts, insurance documentation, and other business/legal records.
- Assist with contract renewals, modifications, and amendments while ensuring appropriate approvals are obtained.
- Prepare reports, spreadsheets, and tracking documents related to contracts and upcoming renewals.
- Identify missing information, inconsistencies, or approaching deadlines and elevate issues to the appropriate internal stakeholder.
- Provide general administrative support to the organization’s legal, compliance, or contracts function as needed.
Qualifications
- 3+ years of experience in contracts administration, legal administration, compliance administration, procurement, or a related corporate environment.
- Experience working with contracts, agreements, legal documents, or other formal business documentation.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to handle confidential information professionally and appropriately.
- Proficiency with Microsoft Office, particularly Word, Excel, Outlook, and Teams.
- Experience with contract management systems, document management platforms, or electronic signature tools preferred.
- Ability to communicate effectively with both internal departments and external business partners.
- Bachelor’s degree or equivalent professional experience preferred.
