Job summary

Jobtailor in Honolulu seeks a Senior Contract Specialist to support contract review and negotiation, manage risk, and evaluate terms across client and subconsultant agreements. You will prepare initial documents, markups, and notes for review, track and consolidate comments, and help draft final drafts.

The role requires a bachelor’s degree and about two years of contract administration or paralegal support in professional services.

Qualifications

  • Bachelor’s degree in business, legal studies, contract management, or a related field preferred; equivalent relevant experience may be considered
  • Two years of experience in contract administration, paralegal support, or related administrative/operational work, preferably in architecture, engineering, construction, or professional services is preferred

Responsibilities

  • Support contract review and advisory functions for client agreements, subconsultant agreements, amendments, task orders, certificates of insurance, and related legal documents
  • Assist with contract review and negotiation processes, risk identification, and term evaluation under the Senior Contract Specialist
  • Help create and manage business-related agreements, preparing initial documents, markups, and notes for review
  • Analyze proposed contract terms for legal, insurance, operational, and financial risk and help draft revision or mitigation strategies
  • Track document reviews, compile comments and markups, and incorporate them into final contract drafts
  • Educate project managers, operations leaders, and staff on fundamental contract structures and business terms
  • Advise project teams on contractual obligations including notice periods, insurance requirements, invoicing triggers, and amendments
  • Support collaboration with legal counsel, insurance brokers, finance, and firm leadership on higher-risk provisions, claims, and nonstandard agreements
  • Manage contract execution administration, including formatting final documents, preparing exhibits, and routing agreements for signature via physical or electronic methods such as DocuSign
  • Oversee contract file tracking, coordinate organized digital files, and enter contract data into internal systems
  • Assist with public-sector and private-sector contracting requirements, compliance documentation, and required certifications
  • Track and request Certificates of Insurance, tax clearances, and vendor compliance forms
  • Assist in tracking loss prevention and claims
  • Create a library of acceptable contract terms
  • Contribute to operational and risk-management initiatives, firm-wide consistency, compliance, documentation, and record retention
  • Assist with insurance-related issues and documentation
  • Review standard project contract documents and exhibits, payment provisions, entry permits, lien waivers, and basic amendments
  • Prepare or review supporting documents required before contract execution
  • Review basic non-project contracts and internal agreements
  • Maintain and update the internal contract handbook, templates, and resources
  • Perform other administrative, operational, or secondary tasks as assigned

Requirements
  • Bachelor’s degree in business, legal studies, contract management, or a related field preferred; equivalent relevant experience may be considered
  • Two years of experience in contract administration, paralegal support, or related administrative/operational work, preferably in architecture, engineering, construction, or professional services is preferred
  • Strong willingness to learn complex professional services or project-related contracts
  • Ability to maintain confidentiality and understand nondisclosure agreements
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Developing understanding of contract drafting, review, and lifecycle administration
  • Ability to learn risk identification related to indemnity, liability, insurance, standard of care, scope, and compensation
  • Sound judgment on standard issues and ability to elevate complex risks
  • Growing proficiency in redlining, drafting issue summaries, and explaining concepts clearly
  • Ability to multitask and manage competing priorities and deadlines with guidance
  • Collaborative mindset, discretion, integrity, and trust when handling sensitive information
  • Proficient with Microsoft Office and PDF editing tools
  • Familiarity with or willingness to learn e-signature platforms and contract tracking/lifecycle management systems
  • Ability to perform essential duties confidentially and satisfactorily
