A well-established law firm is seeking an experienced Legal Billing Specialist to manage the full-cycle billing process and ensure invoices are prepared, reviewed, and submitted accurately and on time.
This position serves as a key liaison among attorneys, paralegals, clients, the Finance department, and third-party e-billing providers. The Legal Billing Specialist will manage pre-bill revisions, finalize invoices, monitor electronic submissions, resolve discrepancies, and ensure compliance with client billing guidelines.
Key Responsibilities
- Manage the full-cycle legal billing process from pre-bill preparation through final invoice submission.
- Edit and revise pre-bills based on attorney instructions and client billing requirements.
- Prepare, finalize, submit, and monitor invoices for legal services.
- Ensure monthly billing cycles and ad hoc billing requests are completed accurately and on time.
- Review billing data for accuracy and compliance with client guidelines, engagement terms, and internal policies.
- Submit invoices through client e-billing portals and monitor submission status.
- Research and resolve rejected invoices, billing discrepancies, deductions, short payments, and client inquiries.
- Coordinate with attorneys, paralegals, legal assistants, and Finance team members to address billing issues.
- Maintain client-specific billing codes, rate structures, matter information, and billing arrangements.
- Apply LEDES formatting and UTBMS task and activity codes.
- Track billing adjustments, write-downs, write-offs, and other account changes.
- Maintain complete and accurate billing records within the legal accounting system.
- Assist with billing reconciliations, financial reports, and management summaries.
- Monitor and maintain insurance self-insured retention tracking when required.
- Identify process improvements that support accurate invoicing and efficient billing operations.
- Provide responsive service to billing attorneys and internal stakeholders.
Required Qualifications
- At least two years of legal billing, accounts receivable, collections, or related financial experience.
- Experience with full-cycle billing, including pre-bill revisions, invoice preparation, finalization, and submission.
- Familiarity with law-firm billing practices, client billing guidelines, and attorney time-entry procedures.
- Hands-on experience using electronic billing portals.
- Knowledge of LEDES billing formats and UTBMS coding.
- Experience reviewing and resolving invoice rejections and billing discrepancies.
- Strong understanding of legal billing compliance requirements.
- Excellent analytical, organizational, and problem-solving skills.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple billing deadlines and attorney requests.
- Effective written and verbal communication skills.
- Ability to work onsite in the Los Angeles office three days per week.
- Associate or bachelor's degree in Accounting, Finance, Business, or a related field.
- Previous billing experience within a law firm.
- Experience using Elite 3E or comparable legal accounting software.
- Experience with e-billing platforms such as Legal Tracker, Tymetrix, Collaborati, or similar systems.
- Experience with insurance self-insured retention tracking.
- Experience preparing billing reports and account reconciliations.
Work Environment
This position follows a hybrid schedule with two remote workdays per week. The remaining three workdays require onsite attendance at the Los Angeles office.
