Our client is looking for a Manager of Billing Services to lead its billing and accounting teams. This is a people-leadership role with a midsized law firm in downtown Chicago offering a hybrid schedule (3 days remote, 2 days in office).
The person in this seat will manage and develop a team of four billers, set the service standard for the department, and think at the strategy level in collaboration with the Director of Finance and another Billing Manager. This role reports directly to the Director of Finance, who comes from an accounting background and is looking for a true billing expert to run this function with full autonomy.
Primary Responsibilities:
- Lead, mentor, coach, and develop the billing team while building a collaborative, accountable, service-oriented environment
- Oversee preparation, review, editing, and submission of client invoices for accuracy, timeliness, and compliance with client billing guidelines
- Manage daily billing workflows — monitoring workloads, prioritizing assignments, and allocating resources to meet deadlines
- Serve as the primary escalation point for billing questions from attorneys, legal support staff, clients, and the billing team
- Oversee electronic billing submissions and monitor invoice status across e-billing platforms
- Research and resolve billing discrepancies, rejected invoices, invoice reductions, and client inquiries
- Partner with attorneys, the Director of Finance, and the accounting team on AR efforts and billing-related collection matters (AP, AR, and collections sit with the accounting team)
- Generate and analyze billing, WIP, and AR reports to identify trends and support decision-making
- Support month-end billing activities and special projects
- Establish and document billing best practices, quality standards, and consistent service levels
- Lead onboarding, training, coaching, and ongoing development for the team; participate in hiring, succession planning, and performance management
- Partner with the Manager, Billing Operations on cross-training, workflow improvements, system enhancements, and coverage
Qualifications:
- 5+ years of legal billing experience in a law firm required
- Prior supervisory, team lead, or people management experience preferred
- Strong command of legal billing processes, client billing guidelines, e-billing requirements, and AR support
- Experience with legal billing systems (Aderant, Elite 3E, or similar) is helpful; Aderant specifically is not required
- Familiarity with LEDES formats and e-billing platforms — CounselLink, Legal Tracker, Tymetrix, Legal-X, Bottomline Legal Exchange, Acuity, or similar
- Advanced Excel (PivotTables, VLOOKUP/XLOOKUP, filtering, reporting, data analysis)
- Proven ability to analyze billing data, troubleshoot, and manage high-volume work against hard deadlines
- Excellent communication, organizational, and problem-solving skills
- Collaborative, interpersonal leadership style with a real commitment to developing people
Compensation and Benefits:
