Legal Assistant – Workers' Compensation (Professional Athletes)

Location:In Office M-F

About the Role

Premier applicant-side Workers' Compensation law firm dedicated to representing professional athletes. From recently retired players to sports legends, the firm works to secure the benefits and future medical care they deserve.

Client is seeking a highly organized, personable Legal Assistant to join a collaborative team. This role anchors three key areas: Client Intake, Medical-Legal Scheduling, and Deposition Coordination.

Key Responsibilities
  • Client Intake: Serve as a primary point of contact for prospective clients, guide intake documentation, create case files in management systems, and file Applications for Adjudication with the WCAB.
  • Medical-Legal Scheduling: Coordinate AQME, PQME, PTP, and STP evaluations, issue appointment notices and QME advocacy letters, request panel lists, and calendar report deadlines.
  • Deposition & Legal Support: Schedule depositions and hearings, prepare prep materials, serve discovery to defense counsel, process EAMS filings (COAs, DORs, Liens), and maintain client files.
Qualifications
  • California Workers' Compensation experience (required).
  • High comfort level communicating with VIP clients, including professional athletes.
  • Proficiency with EAMS, WCAB procedures, Microsoft Office, Dropbox, and case management software.
  • Exceptional organizational, communication, and deadline-management skills.
  • Bachelor's degree, Paralegal Certificate, or 1+ years of Workers' Comp legal assistant experience preferred.

Responsibilities
Client Intake & Onboarding
  • Lead prospective client intake, explain documents, and assist with accurate form completion.
  • Process intake questionnaires, set up case files in management software, and handle initial client communications.
  • File Applications for Adjudication of Claims with the WCAB and complete proper service.
Medical-Legal Scheduling
  • Coordinate AQME, PQME, PTP, and STP appointments with physician offices.
  • Issue appointment notices, send QME advocacy letters, and request QME panel lists.
  • Calendar medical deadlines and track upcoming med-legal report due dates for follow-up.
Deposition & Legal Support
  • Schedule and calendar depositions, medical evaluations, WCAB hearings, and key deadlines.
  • Prepare deposition materials and manage EAMS filings (Applications, COAs, DORs, Liens).
  • Serve medical-legal reports and discovery materials to defense counsel.
  • Maintain organized case files, handle VIP client interactions, and provide overall administrative support.
