Job summary

Aquent is seeking an organized and proactive Administrative Assistant to bolster our business and legal affairs team in Burbank, CA. You will help run essential legal and administrative functions across multiple projects in music and live events.

You will screen calls, manage travel, prepare documents, and support contract processes, vendor payments, and asset sourcing for tours and concerts. A strong eye for detail and comfort with ERP systems are required.

Qualifications

  • Minimum 1–2 years of administrative experience.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proven ability to multi-task and manage priorities in a fast-paced environment.
  • Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint.
  • Experience with SAP or similar ERP systems.
  • Previous contract experience, including formatting and redlining.

Responsibilities

  • Provide administrative and coordinator support for multiple team members across time zones.
  • Manage travel arrangements and prepare expense reports.
  • Prepare, proofread, format, and circulate documents; handle general office tasks.
  • Support contract administration by scanning and uploading agreements into CMS.
  • Manage end-to-end process for payment requests to external vendors.
  • Draft simple form agreements under attorney supervision and obtain signatures.
  • Format legal agreements and exhibits and prepare comparisons of documents.
  • Conduct basic research and locate archived files.
  • Prepare presentation materials as assigned.
  • Assist with sourcing and securing approval for creative assets for tours and concerts.

We are seeking a highly organized and proactive individual to step into a pivotal support role within our business and legal affairs team. In this position, you will be instrumental in ensuring the seamless operation of critical legal and administrative functions, directly contributing to the success of our music and concert ventures. Your expertise will empower a dynamic team, streamline essential processes, and help bring creative projects to life, making a tangible impact on the entertainment landscape.

Key Responsibilities
  • Provide comprehensive administrative and coordinator support for multiple team members, including answering and screening phone calls, preparing and distributing correspondence and legal documents, and scheduling meetings and calls across various time zones.
  • Manage travel arrangements and prepare expense reports, ensuring accuracy and timely submission.
  • Prepare, proofread, format, update, correct, and circulate documents, along with handling general office support tasks such as filing, facilities requests, supply orders, and photocopying.
  • Support contract administration by scanning and uploading agreements into document management systems, establishing and maintaining best practices with system users and contributors.
  • Manage the end-to-end process for payment requests to outside vendors.
  • Draft simple form agreements under attorney supervision and secure necessary signatures.
  • Format legal agreements and exhibits, and prepare comparisons of legal documents.
  • Conduct basic research and assist in research projects by locating and retrieving archived electronic and physical files.
  • Prepare presentation materials as assigned by the team.
  • Assist with sourcing and securing approval for creative assets, such as films, film clips, photographs, and other materials for use in tours and concerts, as well as other assigned duties.
Required Skills & Experience
  • Minimum of 1-2 years of administrative experience.
  • Excellent written, verbal, and interpersonal communication skills, effective at all levels of an organization.
  • Proven experience in multi-tasking and managing multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Comfortable and efficient with the use of technology.
  • Experience with SAP or a high degree of comfort with similar enterprise resource planning applications.
  • Previous contract experience, including formatting and redlining.
  • Exceptional attention to detail with the ability to maintain professionalism under pressure.
  • Strong organizational, time management, and follow-through skills.
  • Demonstrated ability to prioritize, meet deadlines, and exercise sound judgment to adapt actions as needed.
  • A cooperative work style, strong work ethic, and a positive attitude, consistently exercising sound judgment.
Preferred Qualifications
  • A strong interest in music and the performing arts.
  • Familiarity with and interest in social media, music, entertainment, and technology.
  • Experience with complex agreements and contracts.
  • Experience with rights database management.
  • Notary Public certification is a plus.
