Job Summary
Support assigned functional managers within the Jabil Legal Department by providing administrative and clerical support.
Location
This role will be based on-site at our St. Petersburg, FL - Corporate Headquarters.
Essential Duties And Responsibilities
- Coordinate attorney and/or manager’s calendar, meetings, correspondence, and presentations as needed.
- Coordinate and arrange meetings with facilities and provide support during meetings.
- Participate or lead special projects and/or events.
- Arrange and coordinate travel schedules and reservations when required.
- Administer programs, projects, and/or processes specific to the department served.
- Serve as the administrative liaison with others within and outside the company regarding administrative issues relating to purchasing, personnel, facilities, and operations.
- Generate reports and graphs as needed.
- Order and maintain supplies.
- Plan and prepare for customer visits.
- Assist with legal billing, follow up with law firms, and invoice processing.
- Partner with Accounts Payable to process legal invoices.
- Serve as a resource to others in resolving complex problems and issues.
- Adhere to all safety, health, and security policies.
- Support legal billing and operational needs, acting as a resource for complex issues.
- Support on-site meetings and events, including reservations and catering.
- Perform other duties as assigned.
Job Qualifications
Knowledge Requirements
- Proven experience supporting Legal Counsel, managing calendars, scheduling meetings, arranging travel, and supporting legal teams.
- Advanced skills in Outlook, Word, PowerPoint, Excel, and web-based tools.
- Ability to prepare PowerPoint presentations and summarize complex information.
- Excellent reading and writing skills, including legal materials.
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Ability to meet deadlines and make informed decisions.
- Proactive attitude and strong work ethic.
- Excellent interpersonal and professional communication skills.
- Experience handling sensitive information with confidentiality.
- Ability to work independently and in teams.
- Support for on-site meetings and events.
- Willingness to learn and improve skills.
- Effective presentation skills and problem-solving abilities.
- Proficiency in Windows OS and related software.
Minimum Qualifications
- Bachelor's degree in Business, Legal, or related field preferred.
- At least one year of relevant clerical/administrative experience, including calendar management.
- Experience supporting legal teams or in legal billing is preferred.
- Fluency in a second language is a plus.
- Equivalent education, experience, or training acceptable.
