Legal Administrative Assistant

Reports to: Assistant General Counsel

$20 - $24/ HourFull time (in office)40 hrs/ week (Mon – Fri)

JOB SUMMARY

The primary focus of this position will involve ordering and follow up of all medical records/bills and deposition transcripts, issuing subpoenas, answering discovery and providing general legal support to office staff including answering phones, document scanning, copying and filing. The ideal candidate should be reliable, detailed-oriented, organized, able to meet deadlines, prioritize tasks, and have the ability to work independently in a challenging environment.

QUALIFICATIONS
  • College degree preferred with 3 or more years of administrative experience
  • A high level of academic achievement
  • Solid writing skills and ability to do research
  • Strong team-work and interpersonal skills
  • Ability to work in a fast-paced, deadline-oriented environment
  • Great attention to detail
  • Microsoft Office proficiencyThe ideal candidate has strong organizational skills, and great customer service skills
GENERAL DUTIES AND RESPONSIBILITIES
  • Medical records acquisition, organization, summarization
  • Preparation of records and deposition subpoenas
  • Draft and respond to discovery requests, including interrogatories, document requests, and subpoenas
  • Must be willing to step in and assist with other support/clerical functions when the need arises
  • Maintain organized, accessible digital and physical case files throughout the litigation process
  • Medical chart organization and scanning
  • Oversee general administrative tasks such as correspondence, call management, and document organization and filing
  • Oversee and manage the court docket system, which includes entering court calls and working on master calendar
ESSENTIAL FUNCTIONS OF THE JOB/PHYSICAL REQUIREMENTS
  • Must be able to multi-task and handle multiple interruptions throughout the day
  • Performs repetitive motion of the fingers/wrists/hands/arms
  • Work with paper charts, records, files, pertinent data and numbers
  • Verbal communication is essential to communicate with staff, personnel, law firms and others
  • May be required to lift up to approximately 35 pounds with lifting frequency
  • Reaching and bending throughout the day
