Job summary

Bay Family of Companies is seeking a Leasing Administrator to support lease administration, risk management documentation, and insurance coordination across real estate and vehicle portfolios. You will collaborate with landlords, vendors, and internal teams to ensure accurate records, timely payments, and compliant processes.

The role involves reviewing lease agreements, maintaining certifications, and managing incident processes for company assets.

Qualifications

• Bachelor’s degree in a related field strongly preferred.
• Five+ years of real estate, lease administration, property management, or related experience.
• Working knowledge of commercial insurance programs, COIs, vendor certification, or risk management processes preferred.

Responsibilities

• Identify, evaluate, and select real estate opportunities aligning with operational needs and long-term goals.
• Review, interpret, and help administer lease agreements, amendments, estoppels, and notices with internal and external stakeholders.
• Administer the facility and vehicle lease portfolio, track critical dates, support renewals, and manage records.
• Process rent, CAM charges, insurance payments and other lease/risk-related expenses per terms and procedures.
• Maintain insurance and vendor certification records, certificates of insurance, and related documents for accessibility and accuracy.
• Utilize Visual Lease and other systems to support portfolio administration, reporting, and inquiries.
• Coordinate certificate requests, risk management documentation, and vendor onboarding/compliance.
• Manage the incident process with internal teams and third-party carriers to document and resolve incidents involving company assets.
• Occasional travel up to 10-20% may be required.
• Perform other duties and special projects as needed.
