This position is responsible for coordinating leasing functions for multiple affordable housing programs and properties with the goal of maximum occupancy, utilization, and efficiency. This position works within a progressive team environment to develop and create strong, long-lasting relationships with employees, stakeholders, and residents.

ESSENTIAL JOB FUNCTIONS

·COMMUNICATION

· Coordinate daily operations of Property Management to ensure regulatory compliance and operational efficiency.

· Provide high level of customer service and ensure internal and external customer satisfaction through strong, open communication and follow-through.

· Participate in front line customer communication through main line phone support and Housing Navigation as needed.

· Market available unsubsidized units and coordinate applications to actively seek new tenants.

ADMINISTRATIVE

· Collaborate with the Intake Coordinator to manage the Bath Housing property top of list process, to include tracking return packets to ensure completion.

· Assist in preparing leasing reports and analyses for management.

· Manage lease packets and ensure current regulatory compliance for a variety of housing projects.

· Maintain electronic filing system and tenant/participant records in accordance with agency expectations.

· Maintain a working knowledge of all properties and the work order system to share in front line communication responsibilities.

· Utilize lease documents to update emergency contacts, vehicles, animals, contacts, etc. in agency software programs.

· Participate in the Accounts Receivable process.

· Assist in the processing of annual and interim changes for all tenants as assigned.

COMPLIANCE

· Process applications/screen applicants, e.g., run background checks, verify income, assets, check landlord references, conduct interviews, and submit for approval.

· Prepare, review, and process lease agreements, renewals, amendments, RFT’s, etc.

· Process move-ins/outs in PHA-Web.

OTHER

· Recommend efficiencies and areas of improvement as relevant.

· Adhere to all applicable state, federal, and Agency rules, policies, procedures and regulations at all times.

· Protect the privacy of individuals’ residing in Bath Housing managed apartments by safeguarding personally identifiable information and sensitive data in accordance with federal privacy laws, guidance, and best practices.

· Performs other related tasks as required.

EDUCATION, EXPERIENCE, AND KNOWLEDGE QUALIFICATIONS

· High school diploma.

· Minimum 2 years administrative experience required.

· Preferred experience in subsidized housing.

· Working knowledge of subsidy regulations (MaineHousing and HUD).

Job Type: Full-time

Pay: $23.15 – $27.23 per hour
