Job description

Beacon Hill is seeking a Lease Administration Analyst to support lease administration, financial analysis, and portfolio management activities for commercial real estate accounts. This role is responsible for maintaining lease data, reviewing financial obligations, auditing lease-related expenses, managing documentation, and serving as a key liaison between landlords, clients, and internal stakeholders. The ideal candidate has strong analytical skills, experience interpreting lease documents, and the ability to manage multiple priorities in a fast-paced environment.

Position Details
  • Pay Rate: $20-$23/hr
  • Schedule: Monday-Friday, 8:00 AM-5:00 PM
  • Work Arrangement: Fully Onsite
Key Responsibilities
  • Review and maintain lease, property, and location data within lease administration systems
  • Abstract lease documents and ensure information is updated accurately and timely
  • Manage document storage, retrieval, scanning, filing, and records administration processes
  • Review invoices against lease requirements and validate supporting documentation
  • Verify financial obligations and ensure billing accuracy
  • Conduct audits of Common Area Maintenance (CAM), insurance, and real estate tax reconciliations
  • Research and resolve billing discrepancies with landlords and third parties
  • Manage subtenant billing, rent collection tracking, and invoice pass-through processes
  • Monitor critical lease dates and communicate deadlines to stakeholders
  • Respond to landlord and client inquiries regarding lease obligations and property information
  • Prepare financial, lease, and critical date reports for portfolio management activities
  • Track exceptions, identify cost-saving opportunities, and support process improvements
  • Assist with special projects and portfolio administration initiatives
  • Develop and maintain process documentation and operational procedures
  • Coordinate with internal and external stakeholders to support account objectives

Qualifications
  • High School Diploma or GED required
  • Bachelor's degree preferred, ideally in Business, Finance, Real Estate, Accounting, or a related field
  • Minimum of 2 years of experience in lease administration, lease auditing, real estate administration, property administration, or a related field
  • Experience auditing CAM, insurance, and real estate tax reconciliations preferred
  • Ability to interpret lease documents and financial obligations
  • Knowledge of financial terminology, cost analysis, and invoice review
  • Strong analytical, organizational, and problem-solving skills
  • Excellent attention to detail and accuracy
  • Strong written and verbal communication skills
  • Ability to prioritize multiple assignments and meet deadlines
  • Proficiency with Microsoft Office Suite, particularly Excel
  • Ability to work independently and collaboratively in a team environment
