The Lease Administrator is a hybrid position based in Dallas, TX and is responsible for the day-to-day administration, tracking, and management of commercial lease portfolios. This role ensures the accuracy and integrity of lease data by processing and entering leases into multiple tracking and reporting systems, maintaining lease files, abstracting lease documents, and uploading all lease-related information into company database software. The Lease Administrator regularly generates reports for database maintenance and client reporting, reviews monthly invoices for compliance with lease terms, reconciles operating expense charges and accounting discrepancies, and processes credits associated with leases and subleases.
In addition, this position serves as a key liaison between clients and landlords, facilitating communication, coordinating documentation, and ensuring all correspondence and records accurately reflect lease obligations and requirements. The Lease Administrator prepares and tracks client-specific landlord correspondence, follows up on outstanding documentation, and works closely with internal teams to maintain accurate records and support client needs. This role also assists with special projects as requested by clients, including portfolio mapping, reporting, data analysis, and other initiatives that support effective lease administration and real estate portfolio management. Success in this position requires exceptional attention to detail, strong organizational and analytical skills, and the ability to manage multiple priorities while delivering a high level of client service.
