ABOUT THE ROLE
The Sr. Lease Analyst position is an integral part of the Lease Administration Team. This position provides assigned clients with a single point of contact in delivering day‑to‑day lease administration services and support. Additional responsibilities may be assigned by the Company from time to time.
KEY DUTIES AND RESPONSIBILITIES
- Audit lease documents to confirm completeness, prepare document inventory and exception item reports for clients as directed.
- Review and interpret leases and other real estate documents, perform OCR as needed.
- Maintain accuracy of all lease information and data in applicable technology platforms.
- Perform quality reviews within client KPIs to maintain best‑in‑class database integrity.
- Oversee and approve vendor invoices and provide leadership to any designated lease analyst.
- Function as main point of contact for lease administration matters for all assigned client accounts.
- Perform electronic document management, OCR, and upload all newly executed lease documents into lease administration database solutions (e.g., Lease Harbor, CoStar Real Estate Manager, Visual Lease, MRI ProLease).
- Abstract and audit lease documents including adding new location leases, updating, and maintaining all lease information and data in applicable technology platforms, as needed.
- Track, monitor, report and update all key lease dates in accordance with established alert date interval protocols, including lease expirations, termination/kick‑out rights, and renewals, performing necessary action items and follow‑up as well as maintain existing critical date report spreadsheet.
- Perform quality reviews on routine portfolio updates and database maintenance including abstraction of leases, amendments, modifications, renewals, notices, and miscellaneous lease documents.
- Conduct preliminary desk‑top audits of Year‑End Common Area Maintenance (CAM), Insurance, and Real Estate Tax reconciliations.
- Perform recurring and non‑recurring rent processing monthly (or as needed more frequently) for international and domestic client locations, perform invoice compliance review to validate expenses as well as identify cost avoidance and potential recoveries and code to applicable expense categories. Prepare and distribute monthly rent file and month‑over‑month variance reports.
- Perform accurate and detailed reconciliation of rent accounts and work with landlords to resolve any discrepancies.
- Calculate and prepare monthly subtenant invoicing, monitor collections and follow‑up on aging balances.
- Timely prepare and distribute tenant improvement disbursement packages, perform follow‑up, and monitor prompt collection.
- Prepare and distribute agreed upon monthly and ad‑hoc reporting packages.
- COI coordination for landlords and tenants, draft notices, review and prepare responses to landlord and tenant communications for client approval.
- Estoppel and SNDA fact confirmation and processing.
- Coordinate efforts with in‑house points of contact to facilitate vendor set‑up, enter financial schedules, rent start, and stop dates.
- Track and monitor income lease receivables and security deposit refunds and reductions.
- Special projects as assigned.
QUALIFICATIONS
- Five (5) years Lease Administration experience.
- Excellent oral and written communication skills.
- Extremely accurate and detail‑oriented.
- Knowledge of lease admin technology platforms; prior knowledge of Tango or MRI Enterprise a plus.
- Proficiency in MS Office products.
