Qualifications

• High School Diploma or GED Required.
• 7+ years experience.
• Deadline oriented; ability to track and meet multiple concurrent deadlines.
• Excellent verbal, written communication and problem-solving skills.
• MS Office applications (Word, Excel, Outlook, PowerPoint) and others.
• Familiarity with Bluebeam is an advantage.
• Familiarity with Smartsheet is an advantage.
• Experience with cloud-based file sharing platforms (SharePoint/ShareFile/Newforma/Dropbox/Box) is an advantage.
• Strong computer and typing skills.
• Self-motivated and flexible to take on new tasks.
• Strong willingness & eager to learn.

Responsibilities

• Coordinate with the project team during proposal phases to meet deadlines and complete reviews.
• Support the project manager with internal communications and follow-up.
• Maintain project calendars including deliverables and QC deadlines.
• Schedule internal meetings, kick-offs and design reviews.
• Review project financials and communicate issues to the team.
• Create and maintain project Smartsheet files and document storage.
• Track invoices and project payments.
• Assist in reviewing deliverables by deadlines.
• Ensure internal compliance requirements are met.
• Assist in handling RFIs, submittals and responses.
• Edit and format specifications as needed.
• Prepare materials for project pursuits.
• Assist in processing contracts and sub-consultant agreements.
• Attend meetings and distribute notes.
• Assist in generating financial management reports.
• Track scope changes and update budgets.
• Maintain project document storage in standard directory structure.
