Job description

Position: Lead, Information Management & Document Control

Location: On-site / Office and Construction Environment

Summary: The Lead, Information Management & Document Control is accountable for establishing Hexagon SDx as the system of record and ensuring information is managed across its full lifecycle using fit-for-purpose governance, processes, and systems. This role leads a high-performing Document Control team supporting EPC project execution through turnover and handover to operations. Acting as the functional Subject Matter Expert (SME) for Hexagon SDx, the role is critical to driving the transition from legacy EDMS platforms to Hexagon SDx, including workflow development, metadata discipline, training, and governance. The ideal candidate brings a strong process and systems mindset, proven people leadership, and excellent communication skills to support large-scale capital projects.

Job Duties:
Information Management Governance & Lifecycle
  • Own and maintain the information management operating model, including governance, standards, document lifecycle, and cross-functional information flow.
  • Ensure information supports Project Execution, Turnover, and Operations readiness.
  • Establish audit-ready document control practices aligned with contractual, regulatory, and project requirements.
Document Control Leadership & Execution
  • Lead, develop, and mentor the Document Control team, setting expectations and driving accountability.
  • Build team capability through structured training, coaching, and mentoring.
  • Own day-to-day document control execution, including intake, registration, indexing, metadata quality, distribution, revision control, transmittals, and records retention.
Systems Ownership & Hexagon SDx SME
  • Serve as the functional SME for Hexagon SDx, configuring and enforcing workflows, lifecycle states, metadata standards, permissions, and reporting.
  • Develop dashboards and reports to support visibility into document control performance and compliance.
  • Ensure Hexagon SDx is established and maintained as the system of record.
EDMS Transition & Continuous Improvement
  • Lead the transition from legacy EDMS platforms to Hexagon SDx, including adoption planning, training material development, user support, and compliance checks.
  • Establish and continuously improve document control procedures, work instructions, naming conventions, and quality checks to improve first-pass quality and reduce rework.
  • Identify and implement process and system improvements to streamline workflows and enhance document accessibility and reliability.
Cross-Functional & Stakeholder Engagement
  • Build strong cross-functional relationships with Engineering, Supply Chain, Construction, Operations, Contractors, Vendors, and Turnover teams.
  • Ensure the right documents are available at the right time to support construction readiness, turnover readiness, and operational handover.
Performance Management & Reporting
  • Track, analyze, and publish document control performance metrics, including cycle time, backlog aging, rework and rejection rates, metadata quality, workflow compliance, and contractor/vendor MDR status.
  • Support internal and external audits by ensuring traceability, completeness, and compliance of project records.
Job Requirements:
Education
  • Bachelor’s degree in Management Information Systems (MIS), Business, Engineering, or a related field.
Experience
  • Minimum of 10 years of information and document management experience supporting Energy, EPC, or Owner/Operator environments and large-scale capital projects.
  • Demonstrated people leadership experience, including team development and performance management.
  • Proven experience as a Hexagon SDx (HxGN SDx) power user or functional lead.
  • Demonstrated ability to lead change and design or improve document control workflows and governance models.
Preferred Qualifications
  • Prior experience supporting EDMS transitions, system migrations, or major workflow changes.
  • Working knowledge of Omega365 / PIMS or similar project information management platforms.
  • Owner-Operator experience supporting operations readiness, DFO (Documents for Operations), and turnover/handover documentation.
  • Experience building or significantly improving a document control function, including procedures, KPIs, dashboards, training programs, and governance frameworks.

  • Strong ability to manage competing priorities in a fast-paced project environment.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication skills with the ability to influence cross-functional stakeholders.
