IMC Trading is seeking an experienced Events Planner to join our Chicago team. You will co-own the events calendar with another planner, delivering the Annual Company Trip and multiple firm‑wide events with strong on-site execution.

You will manage budgets end-to-end, negotiate with vendors, and collaborate with Procurement, Legal, Facilities, Workplace, and HR to ensure smooth operations and a high-impact employee experience.

Qualifikationen

• 5+ years of experience in events management.
• Own end-to-end event budgets including vendor negotiation and cost management.
• Strong communication skills, including presenting plans and results to senior stakeholders.
• Excellent attention to detail with strategic, big-picture thinking.
• Ability to manage multiple complex projects simultaneously.
• Highly organized with strong multi-tasking abilities.
• Ability to travel and work evenings/weekends as required by events.
• Intermediate-level Microsoft Office skills.

Aufgaben

• Support the Annual Company Trip by planning and delivering a multi-day gathering for US employees, including site visits, venue/vendor selection, travel and accommodation logistics, and on-site execution.
• Plan and deliver firm-wide events throughout the year; develop themes, manage decor, catering, entertainment, venue sourcing, vendor negotiation, and budgeting from planning to reconciliation.
• Produce post-event reports covering budget, attendance, feedback, and ROI; translate findings into actionable recommendations for future planning.
• Oversee day-to-day events administration: invoicing, budget tracking, vendor contracts, RSVP systems, event calendars, and materials.
• Build and maintain vendor relationships with venues, caterers, entertainers, and decor providers; support sourcing for the annual trip with cost efficiency and quality in mind.
• Collaborate cross-functionally with Procurement, Legal, Facilities, Workplace, and HR to manage contracts, space needs, and approvals.
• Support ad hoc and one-off events as needed, including hosting corporate guests at high-profile events, applying same planning and execution standards.
• Work with the wider Events Team to ensure coverage across the events calendar and contribute to shaping the events strategy.
• Stay ahead of trends and bring fresh ideas to elevate the employee experience.
