Job summary

RMF is an MEP engineering firm with 12 offices in the eastern US. We seek a Knowledge Manager Specialist to own Deltek Vantagepoint data for projects, clients, employees, and business development, ensuring accuracy and consistency across the firm.

Responsibilities include data entry, cleansing, audits, standardized procedures, reporting, and user support. Salary range is $70,000–$80,000 annually with benefits and equal opportunity employment.

Qualifications

• Excellent verbal and written communication skills.
• Desire to engage in business systems and process improvement.
• Strong organizational and time management abilities.
• Knowledge of Content Management Systems (CMS); experience with Vantagepoint preferred.
• Experience with RFP processes and business development is a plus.
• Experience in engineering, architecture, or professional services firms is preferred.
• Knowledge of project-based business operations and business development processes.
• Experience creating reports and dashboards.
• Familiarity with data quality management and CRM best practices.

Responsibilities

• Enter and maintain project, client, contact, employee, and pursuit information in Deltek Vantagepoint.
• Review and update records for accuracy, consistency, and completeness.
• Establish standardized naming conventions and data entry procedures.
• Monitor databases for duplicates or outdated records and perform cleanup.
• Process project setups, client updates, employee information, and organizational changes.
• Conduct regular audits to identify missing or incorrect information.
• Research and resolve data discrepancies with department managers.
• Maintain documentation of data management procedures and workflows.
• Assist with data validation for proposals, project tracking, and business development activities.
• Support monthly, quarterly, and annual reporting requirements.
• Serve as a resource for employees regarding database processes and data standards.
• Assist users in locating, updating, and maintaining information in Deltek Vantagepoint.
• Support data collection, migration, and process improvement projects.
• Assist in managing a searchable photo and graphic asset library.
• Create website case studies with cohesive visuals and functionality.
• Facilitate dissemination of knowledge across the firm.
