Role purpose

The Junior IT and Office Services Assistant is based in Dubai and provides remote IT support to colleagues across the global business, alongside hands-on technology and office support across the company’s MENA offices. The role also assists with the day-to-day running of the UAE offices and provides local coordination for the company’s central back-office teams.

This is a junior role working within established procedures, access permissions and escalation routes. The successful candidate will receive guidance and training, develop their technical and administrative knowledge, and take on additional responsibilities as their experience grows.

Key responsibilities
IT support
  • Act as a first point of contact for IT incidents and service requests, taking ownership of assigned requests, maintaining accurate helpdesk records and keeping users informed.
  • Provide remote and in-person support for company devices, workplace applications, user accounts and approved AI tools.
  • Diagnose and resolve issues within the role holder’s knowledge, access and documented authority, coordinating with colleagues or service providers where required.
  • Escalate unfamiliar, sensitive, network-related, security-related or business-critical matters appropriately.
  • Set up and support meeting-room, videoconferencing, presentation and audiovisual equipment, including technical assistance for planned meetings and events.
  • Assist with employee joiner, mover and leaver activities, including standard account administration and device preparation.
  • Maintain clear ticket notes covering actions taken, outstanding issues and next steps so other team members can continue support when required.
Equipment and suppliers
  • Assist with the preparation, deployment, maintenance, return and recording of IT equipment, including asset and stock control.
  • Liaise with approved local suppliers and coordinate quotations, deliveries, collections, repairs and service visits.
  • Refer purchasing decisions, contractual commitments and expenditure approvals to the relevant director or manager.
Office and local administrative support
  • Provide administrative and practical support for the effective day-to-day running of the company’s UAE offices.
  • Liaise with facilities management, landlords, contractors and local service providers regarding routine office requirements, maintenance and workplace access.
  • Assist with supplies, couriers, visitors, meetings, events and other routine workplace needs.
  • Support central teams with locally based activities requiring in-country coordination, documentation or contact with employees and approved service providers.
  • Assist with routine employee administration, including the coordination of visa documentation, appointments and application updates under the direction of HR or the appropriate global support team.
  • Maintain accurate records, handle confidential information appropriately and refer policy, eligibility, legal or exceptional matters to the responsible central team.
Documentation and improvement
  • Maintain procedures, checklists, knowledge articles and appropriate administrative records.
  • Provide clear guidance to colleagues and suggest practical improvements to routine IT and office processes.
Scope and decision making
  • Work within established procedures, access permissions and approval processes, seeking guidance when a request is unfamiliar, sensitive, high-risk or outside an established process.
  • Engage with suppliers and facilities providers but not enter contracts or approve expenditure; support security and employee administration without owning cybersecurity operations or providing legal or immigration advice.
  • The role has no direct reports or responsibility for IT strategy, departmental budgets or management of the global IT service.
Working arrangements
  • Core business hours are 9:00am to 5:00pm, with flexibility according to office activity and operational demands.
  • The role is office-based, with Dubai as the home office. The role holder will also work from the Abu Dhabi office when required.
  • Occasional travel to Riyadh and other MENA locations may be required. A UAE driving licence is useful but not essential, provided the role holder can make suitable travel arrangements.
  • Occasional work outside core hours, including out-of-hours assistance, may be required for planned maintenance, office changes, urgent support or important business activities. Wherever possible, this will be arranged in advance.
Knowledge and experience
Essential
  • A relevant IT qualification or equivalent practical IT knowledge and experience.
  • A basic understanding of end-user technology, common workplace applications and computer operating systems.
  • Strong spoken and written English, with the ability to explain technical matters clearly and patiently.
  • A customer-focused and organised approach, with the ability to maintain accurate records and handle confidential information appropriately.
  • An interest in developing a career combining IT support with office administration.
  • Willingness and ability to travel within the UAE and, occasionally, elsewhere in the region.
Desirable

The role is suitable for someone entering the workplace or with up to one year of relevant experience. Practical experience or exposure to some of the following would be useful:

  • Microsoft 365 user administration, including exposure to Microsoft SharePoint and Microsoft Teams.
  • Windows and macOS, helpdesk or ticket-management systems, and end-user support both in person and remotely.
  • Preparing and maintaining workplace technology, including laptops, meeting-room and audiovisual equipment.
  • IT asset management, stock control, employee joiner, mover and leaver processes, or office administration.
  • Basic knowledge of commonly used AI tools and their appropriate and responsible use in the workplace.
  • Spoken and written Arabic.

Candidates are not expected to have experience in every area. Training and guidance will be provided as the successful candidate develops in the role.

Personal qualities
  • Approachable, patient and committed to good customer service.
  • Reliable, discreet and organised when completing routine tasks and handling confidential information.
  • Calm and methodical when faced with an unfamiliar problem, with the confidence to ask questions or elevate matters appropriately.
  • Curious, flexible and willing to undertake both IT and office administration duties.

We welcome applications from people with disabilities and neurodivergent individuals, and we’re happy to provide reasonable adjustments throughout the recruitment process.
