We are seeking a proactive, highly organized Junior Sales Support / Admin based in LATAM to serve as the operational anchor for our sales team. In this role, you will handle calendar scheduling, paperwork verification, client follow-ups, and daily administrative coordination to ensure our Account Managers stay focused on high-value conversations.
This role is ideal for a tech-savvy, detail-oriented professional with near-native English communication skills who thrives in a fast-paced environment, multi-tasks well under pressure, and catches discrepancies before they impact the business.
Key Responsibilities
1. Sales Coordination & Document Review
- Documentation Verification: Carefully review incoming client forms, contracts, and uploaded documents to verify accuracy and completeness (e.g., catching errors like "Hey, this isn't what we requested") before passing items to Account Managers.
- Information & Paperwork Retrieval: Reach out to clients, vendors, and prospects via phone and email to request missing paperwork, follow up on pending items, and resolve administrative bottlenecks.
- Pipeline Scheduling: Coordinate calendars and schedule calls, product demos, and follow-up meetings between prospective clients and our Account Managers.
2. Client & Prospect Follow-Ups
- Multi-Channel Communication: Respond promptly to routine client inquiries, email threads, and phone requests with professional etiquette.
- Proactive Follow-Through: Maintain structured follow-up schedules for pending quotes, open inquiries, and post-meeting action items so nothing falls through the cracks.
- Outbound Outreach Support: Conduct basic outbound phone and email check-ins to confirm appointments, gather client details, and support warm lead follow-ups.
3. CRM & Administrative Hygiene
- Database Maintenance: Update CRM records, log client communications, and keep deal stages accurate in real time.
- Sales Team Relief: Assist Account Managers with general administrative tasks, correspondence, and ad-hoc operational projects as assigned.
Qualifications & Requirements
Required
- English Proficiency (Top Requirement): Exceptional spoken and written English skills with a clear, confident, and professional phone manner.
- Computer & Tech Savviness: High comfort level navigating cloud platforms, email suites (Google Workspace / Office 365), PDF editors, and CRM databases.
- Detail Orientation: High perceptual speed and accuracy; ability to spot missing data, mismatched information, or formatting errors in business documents quickly.
- Multi-Tasking & Composure Under Pressure: Proven ability to manage competing priorities, handle urgent client requests, and maintain accuracy in a fast-moving environment.
Preferred (Big Pluses)
- 1+ years of experience in sales support, customer service, or administrative assistance supporting US-based teams.
- Exposure to CRM platforms like HubSpot, Salesforce, or similar tools.
